Administrative Assistant / Archive Assistant

Location: Phoenix, AZ (On-site)
Client: AZDES - Division of Developmental Disabilities (DDD)

Job Description: Seeking a detail-oriented Administrative Assistant / Archive Assistant to support records management operations at the DDD Records Management Center. This role is responsible for organizing, logging, shelving, retrieving, scanning, digitizing, and maintaining member medical records while ensuring compliance with HIPAA, federal regulations, state laws, and record retention requirements. Duties include quality-checking records, data entry, file management, records tracking, document digitization, boxing files, assisting with records destruction processes, and performing general administrative support tasks.

Required Qualifications:

  • High School Diploma or equivalent
  • Minimum 1 year of experience handling records and data entry
  • Strong computer skills, preferably with Google Suite
  • Familiarity with HIPAA requirements
  • Ability to organize and manage high-volume records
  • Strong attention to detail and ability to work independently
  • Ability to lift up to 50 lbs and bend/stand 35-45% of the workday
