Join our team as a Project Manager / Marketing Operations Coordinator!
We are looking for someone who is passionate about digital customer interactions, loves to keep up with social media trends and can exercise a strong creative side. This position is a hybrid role in our marketing department. You'll spend a few days a week in-office (at our administration building located in Cuyahoga Heights, OH) collaborating and sharing ideas with our marketing team and have the opportunity to work remotely a few days a week (after the initial onboarding period).

A Little About the Role:
The Marketing Operations Coordinator serves as the operational backbone of the marketing department, coordinating projects, workflows, and timelines across all marketing initiatives for Firefighters Community Credit Union and Ladderside Marketing.
This role is responsible for designing, implementing, and maintaining the department's project management infrastructure using the Monday platform. The position ensures marketing initiatives move efficiently from concept through execution by coordinating cross-department requests, establishing standardized workflows, managing project timelines, and supporting collaboration between marketing teammates, credit union departments, vendors, and external Ladderside clients.
Working closely with the Chief Marketing Officer, this role helps guide operational planning, maintain project visibility, and ensure marketing initiatives remain organized, efficient, and aligned with departmental priorities. The Marketing Operations Coordinator plays a critical role in helping the marketing department scale effectively as internal initiatives expand and Ladderside client engagements grow.
What You'll be Doing:
  • Coordinate and manage the execution of marketing initiatives across the credit union. Track project timelines, assign tasks, monitor progress, and ensure campaigns move efficiently from ideation through completion. Facilitate collaboration across the marketing department and other internal teams to maintain alignment and ensure timely delivery of projects.
  • Serve as the primary architect and administrator of the marketing project management system. Design and maintain workflows, boards, templates, automations, and reporting structures that standardize marketing operations. Continuously refine processes to improve efficiency, transparency, and accountability across the department.
  • Support the operational delivery of Ladderside Marketing services by coordinating timelines, tracking deliverables, and maintaining project visibility for external client engagements. Work with the CMO and marketing team to ensure Ladderside projects remain organized, on schedule, and aligned with client expectations.
  • Organize requests into a structured project pipeline, assist in establishing timelines, and work with the marketing team to ensure initiatives are properly prioritized, scoped, and executed.
  • Develop and maintain dashboards and reporting tools within the project management system to track project status, campaign progress, and workload capacity. Provide operational updates to the CMO to support planning, prioritization, and resource allocation.
  • Assist with coordination of external vendors related to marketing projects including printing, digital production, video production, and other creative services. Track vendor deliverables and timelines to ensure projects remain on schedule.
  • Identify opportunities to improve marketing workflows, documentation, and operational standards. Assist in developing consistent project practices that allow the marketing department to scale effectively as new initiatives and Ladderside clients are introduced.
  • Execute, track and recommend on-going improvement to all digital marketing efforts, and make recommendations to the CMO, as appropriate.
  • Ensure marketing efforts are accurate, timely, compliant, error free and within budget.
  • Work cooperatively with marketing team to support cohesive application of all marketing messages and creative content across all communication channels. Serve as a key member of the marketing and communications team to integrate content across channels.

Qualifications
  • Bachelor's Degree
  • Minimum of 3-5 years of experience in a marketing project management, marketing operations, agency operations, or similar roles involving coordination of multi-channel marketing.
  • Experience managing projects within a marketing or agency environment
  • Strong understanding of marketing campaign workflows and production timelines
  • Experience administering project management platforms such as Monday, Asana, ClickUp, or similar systems
  • Ability to manage multiple projects simultaneously while maintaining attention to detail
  • Strong organizational and problem-solving skills
  • Ability to translate strategic marketing initiatives into operational workflows
  • Proficiency with Microsoft Office and digital collaboration platforms
  • Desire to advance FFCCU's marketing in new ways
