Job Description:

  • We are seeking an organized and detail-oriented HR Assistant Specialist to support our Human Resources team in recruitment, HR operations, workforce planning, and HR systems administration.
  • This role works closely with Hiring Managers, HR Business Partners, Corporate HR, and Managed Service Providers (MSP) to support the hiring process and ensure efficient recruitment operations.
  • The ideal candidate will have experience with recruitment coordination, Applicant Tracking Systems (ATS), Vendor Management Systems (VMS), reporting, and HR administration while providing exceptional support to internal teams and candidates.

Key ResponsibilitiesRecruitment & Talent Acquisition:

  • Support the full recruitment lifecycle for direct hire and contingent workforce positions.
  • Create, post, and manage job requisitions in the Applicant Tracking System (ATS).
  • Submit and manage contingent worker requisitions through the Vendor Management System (VMS), including IQNavigator (IQN).
  • Review resumes and identify qualified candidates based on job requirements.
  • Conduct initial HR phone screenings.
  • Coordinate interviews between candidates, hiring managers, and HR teams.
  • Schedule candidate assessments and interviews.
  • Follow up with hiring managers regarding interview feedback and hiring decisions.
  • Maintain regular communication with candidates throughout the hiring process.

HR Systems & Administration:

  • Monitor and manage job requisitions within ATS and VMS platforms.
  • Provide support and troubleshooting for ATS/VMS users.
  • Train HR teams and hiring managers on recruitment systems and processes.
  • Maintain accurate recruitment records and HR documentation.
  • Support HR projects and administrative activities.
  • Ensure compliance with company policies and employment regulations.

Reporting & Workforce Planning:

  • Generate recruitment, hiring, and workforce planning reports.
  • Track recruiting metrics such as open requisitions, hiring activity, and time-to-fill.
  • Develop reports for HR leadership and business units.
  • Support workforce planning initiatives through data analysis and reporting.

Collaboration:

  • Partner with Hiring Managers, HR Business Partners, Corporate HR, and Managed Service Providers (MSP).
  • Respond to HR and recruitment-related inquiries.
  • Support continuous process improvement initiatives.
  • Deliver excellent customer service to internal and external stakeholders.

Required Qualifications:

  • Associate's Degree required; Bachelor's Degree preferred.
  • Minimum 2+ years of experience in Human Resources, Recruiting, Talent Acquisition, HR Operations, or a related field.
  • Experience with Applicant Tracking Systems (ATS).
  • Experience with Vendor Management Systems (VMS); IQNavigator (IQN) experience is a plus.
  • Experience reviewing resumes and coordinating interviews.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of employment laws and HR best practices.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Experience with Google Workspace (Docs, Sheets, Slides) is preferred.
