Job description

Reflex Performance Resources is a leader in activewear and athleisure apparel, selling across DTC, wholesale, and major retail partners. We are seeking a full-time Production Coordinator to join our team in New York City. This role requires an organized, detail-oriented, and proactive professional who thrives in a fast-paced environment and can manage multiple priorities.

Position Overview

The Production Coordinator will oversee the end-to-end production process, ensuring orders are delivered on time and meet quality standards. This position will work closely with overseas vendors, internal teams, and retail partners to drive timelines, track production, and maintain seamless communication.

Key Responsibilities

  • Manage and drive time-and-action calendars; escalate issues to management when needed.

  • Communicate daily with vendors/agents regarding sample and bulk delivery status.

  • Issue and update purchase orders in the ERP system.

  • Maintain order sheets and WIP trackers, monitoring all details (fabric, trims, samples, lead times).

  • Review and release submission comments to overseas factories in collaboration with management.

  • Partner with cross-functional teams, including Costco sales, to align on order requirements.

  • Arrange QC inspections for production and ensure accurate reporting.

  • Prepare and send packages and production materials to overseas factories and buyers.

  • Maintain constant communication with buyers to meet requirements and deadlines.

  • Track shipment bookings and ensure shipping documentation is complete and on time.

  • Monitor containers to ensure timely warehouse deliveries.

  • Review and validate shipping documents prior to logistics handoff.

  • Train and mentor Production Assistants and Associates.

Qualifications

  • Bachelor’s degree in Fashion Design, Merchandising, Apparel Production, or equivalent industry experience.

  • 5+ years of apparel production experience, with Costco production knowledge across international markets (Canada, Mexico, USA, Australia, Asia) required.

  • Advanced proficiency in Microsoft Excel; strong skills in MS Office, Illustrator, and Photoshop.

  • Strong knowledge of apparel production/manufacturing processes and capabilities.

  • Excellent communication, organizational, and follow-up skills.

  • Ability to work across multiple teams and manage priorities independently.

  • Proactive problem solver with strong attention to detail.

  • Fluent in English, both written and verbal.

  • Must be legally authorized to work in the U.S.
