Job description


The Senior Secretary provides comprehensive administrative and operational support to the Office of Housing. This position serves as a contact for departmental communications, coordinates human resources and payroll processes, and performs a wide variety of clerical, organizational, and logistical tasks. Additionally, this role includes direct responsibility for managing key aspects of the apartment assignment process for University Courts Apartments, supporting resident services, and overseeing associated records and compliance tasks.
Responsibilities
• Maintain paper and electronic filing systems. Assist with general correspondence and support departmental communications.
• Provide secretarial and front-line office support for the Office of Housing. Places and receives telephone calls and greets visitors; provides information or routes callers to appropriate staff members; takes messages as needed. Evaluates issues to determine appropriate referral needed; forwards emergency calls to the proper person immediately or determines who can respond to emergencies.
• Coordinate all human resources-related processes for the Office of Housing including paperwork, new hire onboarding, employee status changes, time and leave entry, and employment file management. Submit payroll for full-time, part-time, and student employees using the DASH system.
• Manage the application, assignment, and resident communication processes for University Courts Apartments. Maintain accurate apartment rosters in RMS and coordinate room changes and updates.
• Oversee resident move-in and move-out procedures for University Courts. Communicate expectations, key dates, and ensure forms and records are submitted accurately.
• Manage University Courts key control, including key distribution and collection, coordinating lock changes, and maintaining records for compliance and security. Assist residents with questions and enforce departmental and university policies.
• Ensures security, integrity, and confidentiality of data.
• Procure supplies and materials for the purpose of maintaining the availability of required items for Housing central staff. (office supplies, printer cartridges, batteries, etc.)
• Maintains inventory of supplies and materials for the Housing central staff (ex. office supplies, appliances, etc.)
• Assist Housing personnel with questions regarding payroll and timesheet entry.
• Adds charges to student accounts for lost keys and damaged property.
• Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
• Other duties as assigned.
Qualifications
Minimum Qualifications: Candidates must have a High School Diploma or GED, and 2 to 3 years office experience.
• Skill in using Microsoft Office Suite, email systems, and database entry.
• Ability to manage multiple tasks and prioritize effectively.
• Knowledge of or ability to learn housing software systems.
• Ability to communicate clearly and professionally with students, staff, and outside parties.
• Skill in maintaining confidentiality and working with sensitive information.
Preferred Qualifications: Professional experience in office administration and basic human resources processes.
