Job description

NextGen Federal Systems isย seekingย a highly experienced Operations Executive Assistant to provide senior-level administrative and operational support to our Intelligence Community (IC) customer. The selected candidate will directly support directorate-level operations leadership, ensuring seamless execution of administrative, reporting, security, and travel coordination functions in a fast-paced mission environment.ย 
Responsibilities
  • Provide senior-level administrative and operational support to directorate-level leadershipย 
  • Serve as a primary administrative liaison for operations leadership and internal stakeholdersย 
  • Assist the customer in meeting office security requirementsย 
  • Review, coordinate, and track internal and external staff clearance and nomination packagesย 
  • Prepare staff summary sheets, Memorandums of Agreement (MOA), operational correspondence, and official documentationย 
  • Develop and update office-level Standard Operating Procedures (SOPs)ย 
  • Manage Defense Travel System (DTS) travel arrangements and ensure compliance with Joint Travel Regulations (JTR)ย 
  • Maintain and oversee tasking systems, including the Administrative Requirements Tasking Systemย 
  • Coordinate in-processing and out-processing for government staff and contractor personnelย 
  • Manage leadership calendars, schedule meetings, and coordinate conferenceย logisticsย 
  • Coordinate office supply orders and serve as vehicle coordinator,ย maintainingย logs andย requiredย vehicle reportingย 
  • Maintain internal files, classified records, and operational documentationย 
  • Catalog, file, and track Intelligence Information Reports (IIRs) and operational reporting productsย 
  • Collect andย submitย Significant Action Reports (SAR) and Weekly Action Reportsย 
  • Disseminate critical operational information to Communities of Interest (COI)ย 
  • Collect and prepare operating reports and track budget expendituresย 
  • Develop presentations, read-ahead books, charts, graphs, and narrative information for operational reportingย 
  • Screen incoming correspondence and determineย appropriate actionย 
  • Review outgoing correspondence and reports to ensure proper format, grammar, and coordinationย 
  • Support data transfer and removable media proceduresย in accordance withย security protocolsย 
  • Utilize the Aircraft and Personnel Automated Clearance System (APACS)ย 
  • Ensure compliance with the Foreign Clearance Guide (FCG) and coordinate country and theater clearance requestsย 
  • Advise travelers on Combatant Command travel requirements, including official passports and visasย 
  • Maintain awareness of evolving theater travel requirements and regulationsย 
Qualifications
  • Minimum of 7 years of administrative experienceย 
  • Minimum of 3 years supporting directorate-level operationsย 
  • Expert-levelย proficiencyย with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)ย 
  • Working knowledge and understanding of DoD processes and terminologyย 
  • Demonstrated experience supporting senior operational leadership in a secure government environmentย 
  • Strong written and verbal communication skillsย 
  • Exceptional organizational skills and attention to detailย 
  • Ability to manage multiple priorities in a high-tempo operational settingย 
  • Active TS/SCI clearanceย requiredย
