Overview of the AP Administrator Role

The AP Administrator will support end‑to‑end accounts payable operations and work across multiple ERP systems. The AP Administrator must have strong technical aptitude, exceptional attention to detail, and the ability to collaborate effectively with cross‑functional teams.

Responsibilities of the AP Administrator

The AP Administrator will:

  • Review vendor invoices for accuracy, proper documentation, and approval in accordance with the delegation of authority before posting to the ERP system.
  • Process invoices and manage exceptions with a focus on accuracy and timeliness.
  • Maintain invoice approval documentation and audit support per company retention policies, using current systems and technology.
  • Partner with Procurement, Receiving, and Accounting teams to resolve invoice discrepancies and enhance the three‑way match process.
  • Support vendor management activities by responding to payment inquiries, resolving discrepancies, and providing remittance details.
  • Ensure vendor master data is accurate and current, validating changes in line with company policies and controls.
  • Collaborate with Accounting and Treasury on payment processing and support cash disbursements as needed.
  • Maintain compliance with SOX controls, company policies, audit requirements, and US GAAP; support internal and external audit requests related to AP.
  • Prepare and file required tax documentation, including 1099 reporting.
  • Participate in month‑end close activities, reconciliations, and reporting.
Minimum Qualifications for the AP Administrator

The AP Administrator should have:

  • At least 3 years of accounts payable experience; a degree is preferred but not required.
  • Working knowledge of SAP, Oracle, Epicor, or similar ERP systems.
