Job description

The Department of Pathology seeks a highly organized and professional Senior Administrative Assistant to provide advanced administrative support to the Anatomic Pathology Division. Reporting to the Administrative Lead, the successful candidate will support the Division Chief and faculty members by managing complex calendars, tracking expenses, processing reimbursements and purchases, and coordinating meetings, events, and other division-related activities.

The ideal candidate will demonstrate exceptional organizational skills, strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. A commitment to professionalism, excellent customer service, and the ability to handle confidential information with discretion are essential for success in this role.

Responsibilities

  • Provide advanced, administrative coordination to support office operations and special projects.
  • Arrange business travel, coordinate meetings, and support agenda management and expense tracking.
  • Compile data for preparation and editing for senior leaders.
  • Manage electronic files and produce reports.
  • Serve as the point of contact for facility, equipment, or service calls.
  • Organize meetings and materials for special events.
  • In addition to the above job responsibilities, other duties may be assigned

Minimum Qualifications

  • Education: High School Graduate or equivalent required.
  • Experience: 3+ years relevant experience required.

Preferred Qualifications

  • Experience using Workday, QGenda, Epic, Zoom, and other enterprise technology platforms.
  • Experience utilizing AI-powered tools, such as Microsoft Copilot, to improve productivity and workflow efficiency.
  • Proven experience providing high-level administrative and operational support to senior executives, including C-suite leaders, chief executive officers, department chairs, or other organizational leaders.
  • Strong written, verbal, and interpersonal communication skills.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

Hiring Range: $25.00 - $30.00 per hour, commensurate with experience.
