Description

Position Summary:

The Accounting Administrative Assistant supports the Accounting Department by performing both clerical and accounting duties and plays an integral role in the accounting department by having a direct impact on the company's cash flow through our billing and collections process. Full-time, year-round.


Essential Duties and Responsibilities:

Process member monthly billing statements, assorted duties involved.

Process assorted invoicing for all events.

Process assorted invoicing for new members.

Handle all charge disputes and billing inquiries by email or phone.

Follow up on member and event collections.

Process delinquency letters.

Post daily sales for all POS areas.

Process daily bank deposits.

Post member payments on account daily.

Club reciprocals statements reconciliation.

Process monthly auto payments, with ACH and credit cards.

Collects, tracks, and maintains vendor certificates of insurance and W9s

Researches open invoices

Compiles, emails and files vendor payments and related documents

Timely reconciles monthly vendor statements

Updates Point of Sale system daily

Prepares analytical reports and account reconciliations as needed

Files chits, journal entries, and other accounting documents as needed

Member account inquiries

Member account posting

Assists with monthly inventory audits

Reconciles corporate credit cards and Amazon Account on a monthly basis

Spot checks inventory for the Golf and Food & Beverage Departments.

Assists with other projects, reconciliations, and reports as assigned by management.

All other duties as directed by Controller or Chief Financial Officer

Requirements

3+ years' proven experience.

Working knowledge of Excel, Word, and Outlook.

Working knowledge of Clubessential a plus.

Bilingual English-Spanish a plus.

Must have excellent organization and communication skills.

Must have excellent skills in accuracy and efficiency, as well as be detail oriented.

Must be able to develop and foster professional relationships with members and staff.

College degree preferred not required, preferably in accounting.

Prior Club experience preferred

Microsoft Excel & Word proficiency required

Maintains strict confidentiality

Completes work in a timely manner; strives to increase productivity

Adapts to changes in the work environment

Works well with others in a team environment

Prioritizes and plans work activities; Uses time efficiently

Excellent verbal and written communication skills
