About the Role
The primaryresponsibility of this position is to provide administrative support of keyfunctions for the Dining Services office operations, including coordination ofstudent scheduling; office services; hiring and staff support; and communicationand webpage support.
What You'll Do
  1. Support the mission and vision of Concordia College and demonstrate the competencies as defined for this position.
  2. Administrative and Cash Handling Support
    1. Prepare meeting materials;
    2. Assist with cash handling tasks as needed;
    3. Prepare and place supply orders for operational supplies and equipment;
    4. Support daily operation of campus ID card services;
    5. Provide courteous and professional customer service by responding to questions and resolving concerns in person, by phone, and through email. Monitor departmental inboxes and resolve or redirect messages.
  3. Coordination of Student Scheduling
    1. Maintain student schedules and enter data as needed using scheduling software;
    2. Coordinate and schedule high school employees;
    3. Monitor and coordinate student substitutions and student timekeeping; enter data as necessary;
    4. Conduct orientation of new student employees; monitor, support, and uphold student employee policies;
    5. Assist with planning and executing student employment recruitment activities such as tabling, job fairs, and outreach.
  4. Hiring and Staff Support
    1. Arrange interview times with hiring managers;
    2. Schedule interview space;
    3. Prepare interview materials;
    4. Assist with maintaining accurate information in the campus human resource information system and files;
    5. Conduct initial onboarding activities for new staff employees;
    6. Prepare uniform orders and maintain inventory levels;
    7. Coordinate and schedule on-call employees;
    8. Place orders for temporary labor; greet temporary labor staff and direct to the assigned work area.
  5. Communication and Webpage Support
    1. Prepare professional communication for internal and external customers and potential customers, including use of social and other media relevant to college students;
    2. Write content for electronic and print materials, including but not limited to materials related to meal plans, ID cards, catering, contract services, residential dining, and retail operations.
    3. Monitor departmental webpages to ensure information remains updated; prepare updated/revised information.
  6. Other duties as assigned

Qualifications:
Minimum Qualifications:
  • High school diploma (or GED);
  • Associate degree in business, management, or related field OR equivalent experience with one year of full-time work equal to one year of education.

Preferred Qualifications:
  1. One-year related scheduling and/or hiring & staff support experience.

Skills and Abilities
  • Exceptional verbal and written communication skills, including proper grammar, spelling, and punctuation;
  • Highly skilled in Microsoft Office and Teams;
  • Knowledge of timekeeping procedures;
  • Knowledge of work schedules and coordination of multiple staffing needs into a single schedule; student employee recruitment;
  • Understanding of the unique environment of communication on a college campus with focus on young adults;
  • Able to manage multiple projects in a timely manner;
  • Able to work effectively in a team environment as well as ability to self-manage;
  • Able to work with diverse groups of people;
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information and records;
