Role Overview

The Executive Assistant to the CEO is responsible for managing the day-to-day administrative operations for the CEO; keeping the CEO focused on SOCOSIX’s highest priorities. This role will support the CEO by executing tasks, solving problems, and supporting all executive administrative needs.

Requirements
  • A bachelor’s degree in business administration, or related field, and two years of administrative experience or four years’ experience supporting executives or upper-level management in the professional services industry
  • Advanced communication and interpersonal abilities
  • Ability to handle sensitive and confidential matters with discretion
  • Demonstrated ability in proactively identifying and solving problems before they arise
  • Demonstrated expertise in calendar management and event planning
  • Experience in travel coordination and logistics management
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • High level of integrity and professionalism
  • Exceptional organizational and time management skills
General Responsibilities
  • Identify the preferred method of support for the CEO and appropriately accommodate their working style
  • Manage the CEO’s calendar and correspondence; resolve scheduling conflicts timely, and keep the CEO informed of changes and updates
  • Screen incoming calls and emails and respond as needed
  • Assist the CEO with preparing for meetings, including scheduling meetings, setting up telephone or video conferences, preparing and distributing materials, and arranging catering
  • Greet and assist planned guests and manage unplanned visitors; screening and directing them as needed
  • Lead end-to-end planning for executive offsites, staff, and all-hands meetings, overseeing communication and follow up activities
  • Prepare, update, and organize information for inclusion in reports and presentations
  • Attend and participate in select meetings, including managing agendas, taking notes, and following up on assigned action items
  • Arrange domestic and international travel, including transportation, accommodations, and itineraries based on CEO’s travel needs and preferences. Complete related expense reports.
  • Maintain organized and accessible digital and physical files
  • Assist in managing special projects, conducting research, and providing administrative support for initiatives
  • Interface with internal and external stakeholders as directed, including clients, employees, and other executives on behalf of the CEO
  • Maintain the integrity and confidentiality of internal information, financial records, databases, and sensitive documents
  • Determine what requires the CEO’s attention and what can be handled independently
