Job Title: HR Assistant (MLOA Case Manager)Job Description
The HR Assistant (MLOA Case Manager) provides comprehensive case management for all types of leave of absence and disability life events. In this role, you serve as the single, trusted point of contact for employees throughout their leave or disability event, answering questions, understanding individual situations, applying appropriate benefits, and adapting to changing circumstances. You create a connected and supportive experience that helps employees navigate complex leave processes and return to work smoothly.
Responsibilities
  • Initiate and respond to employee inquiries about leave and disability events, benefits, and available options.
  • Serve as the primary point of contact for a portfolio of approximately 150-200 employee cases, delivering holistic case management services.
  • Review medical documentation and adjudicate leave requests in compliance with applicable leave plans, federal and state laws, and company benefit policies.
  • Use duration guidelines, best practice tools, and internal resources to oversee and manage leave events effectively.
  • Critically assess each case and adjust the case management plan to reflect an employee's changing needs and circumstances.
  • Address and respond sensitively to complex or emotionally charged situations related to leave and disability.
  • Troubleshoot issues and proactively remove barriers before, during, and after a leave event to support employees and stakeholders.
  • Respond promptly to employee-impacting issues that arise during the leave event and ensure appropriate and timely communication.
  • Identify and resolve problems that may arise in cases, sometimes working with limited or incomplete information.
  • Facilitate a smooth return-to-work process, including planning and coordinating ramp-back arrangements for employees returning to the workplace.
  • Educate managers and business partners on employee concerns, needs, and expectations before an employee goes on leave and upon their return.
  • Communicate regular updates to employees and stakeholders clearly and professionally, both verbally and in writing.
  • Ensure compliance with standard operating procedures, federal and state regulations, and internal company policies throughout all case activities.
  • Maintain accurate and timely case records in case management and related systems to ensure complete documentation.
  • Consult, coordinate, and partner with third-party administrators, HR, Safety, Legal, Payroll, Benefits, team members, and other departments or systems as appropriate.
Essential Skills
  • At least 1 year of experience as a case manager using case management systems, reviewing cases for eligibility, determining appropriate benefits, and establishing and executing case management plans; 6 or more years of experience will qualify in lieu of a Bachelor's degree.
  • Alternatively, 2 or more years of experience in Human Resources or customer service in a leave and/or disability field may be substituted for 1 year of case management experience.
  • Human resources knowledge and experience in leave of absence and disability-related processes.
  • Strong customer service focus, with a commitment to maintaining high standards and continually raising the bar.
  • Excellent verbal and written communication skills, with the ability to convey complex information clearly and empathetically.
  • Strong organizational and time management skills, with a demonstrated ability to own and deliver on commitments.
  • Ability to prioritize, manage, and complete work and projects within tight deadlines in a high-volume environment.
  • Ability to be adaptable and flexible in response to changes in scope of work and evolving departmental needs.
  • Technical proficiency and strong computer aptitude, including the ability to learn new systems quickly and navigate multiple systems or windows simultaneously.
  • Proficiency with MS Word, Excel, Access, Outlook, and PowerPoint.
  • Accurate data entry skills and attention to detail in maintaining case records.
  • Demonstrated empathy and ability to support employees through sensitive and challenging life events.
  • Strong problem-solving skills, with the ability to identify issues and develop practical solutions.
Additional Skills & Qualifications
  • Knowledge of federal and state leave and disability regulations, including ADA/ADAAA and FMLA.
  • Experience working with confidential information and maintaining strict confidentiality in handling employee data.
  • Experience providing case management services for a large, multi-state employer or on behalf of a carrier or third-party administrator with clients in multiple locations.
  • Experience providing guidance to employees or managers on leave of absence, disability plans, accommodations, human resources, benefits, or other employee matters.
  • Strong time management and priority-setting skills in a high-volume, dynamic environment.
  • Interest in gaining further HR and case management experience and developing expertise in leave and disability programs.
Work Environment
This is a remote role in a high-volume, fast-paced environment focused on supporting employees through leave and disability events. You will work from a dedicated home office setup that meets virtual work-from-home requirements, using multiple systems and the full MS Office suite to manage cases and documentation. Pay and Benefits
The pay range for this position is $23.00 - $23.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
