POSITION TITLE: African American Club Sponsor
FLSA STATUS: Extra Duty/Stipend Position
STIPEND: As set forth in Article VIII.D ("Stipends") of the Proviso Teachers Union Collective Bargaining Agreement (July 1, 2024 June 30, 2028)

POSITION OVERVIEW:
The African American Club Sponsor is responsible for organizing, supervising, and promoting the student organization in alignment with the District's mission, policies, and student development goals. The Sponsor serves as a mentor, leader, and liaison among students, staff, administration, and families to support a safe, inclusive, engaging, and meaningful extracurricular experience.
QUALIFICATIONS:
Required Experience or Training
- Effective communication and interpersonal skills
- Strong organizational and time-management skills
- Demonstrated leadership skills
- Ability to work collaboratively with students and staff in a school setting
- Ability and willingness to fulfill all responsibilities associated with the position
Desired Experience or Training
- Valid Illinois Professional Educator License (PEL), Substitute Teaching License, retired educator status, or educator-related certification/endorsement, such as School Counselor, School Psychologist, or School Social Worker
- Previous experience sponsoring, supervising, or supporting school-based student activities
- Experience working with high school students
When qualifications are substantially equal, preference shall be given to Proviso Teachers Union (PTU) bargaining unit members in accordance with the applicable collective bargaining agreement.
POSITION RESPONSIBILITIES:
STUDENT LEADERSHIP AND PROGRAM DEVELOPMENT
- Organize and facilitate regular club meetings, activities, programs, and events that align with the mission and goals of the African American Club.
- Guide students in planning and implementing meaningful, inclusive, and developmentally appropriate activities.
- Provide students with opportunities for leadership, teamwork, shared decision-making, and responsibility.
- Promote student involvement and encourage respectful and positive relationships among students and adults.
- Promote student self-esteem, leadership development, cultural awareness, and personal growth through positive reinforcement and recognition.
- Encourage students to maintain an appropriate balance between academic responsibilities and extracurricular participation.
- Use student feedback, participation information, and program outcomes to continuously improve club activities.
SUPERVISION AND STUDENT SAFETY
- Provide active and effective supervision during all club meetings, events, field trips, activities, and other sponsored functions.
- Maintain student safety and ensure compliance with District policies, school rules, and student conduct expectations.
- Clearly communicate and consistently enforce expectations regarding attendance, behavior, academic eligibility, and participation.
- Enforce applicable academic eligibility requirements in accordance with District policy and IHSA requirements, when applicable.
- Ensure that all off-campus activities receive required District approval and that permission forms, transportation arrangements, and other required documentation are completed.
- Fulfill all mandated reporter responsibilities and comply with applicable Illinois law, training requirements, and Board policy.
COMMUNICATION AND COLLABORATION
- Maintain timely and professional communication with students, staff, administration, parents/guardians, and other appropriate stakeholders regarding club activities and expectations.
- Use District-approved communication platforms and comply with District guidelines governing staff-student communication.
- Publicize meetings, events, programs, and initiatives in a timely and appropriate manner using District-approved communication platforms.
- Collaborate professionally with co-sponsors, staff members, administrators, and District departments to support club activities and the broader school community.
- Coordinate facility use, scheduling, transportation, and other logistical needs with appropriate school and District personnel.
- Attend required sponsor meetings and school events, including Activity Fairs, Open Houses, and other activities as assigned.
ADMINISTRATIVE AND PROFESSIONAL RESPONSIBILITIES
- Manage the club's budget and financial records in accordance with District procedures governing purchases, reimbursements, fundraising, and student activity funds.
- Submit required documentation, reports, permission forms, financial records, and compliance materials accurately and within established deadlines.
- Complete a year-end summary documenting club activities, participation, goals, and outcomes.
- Participate in the annual post-activity evaluation conducted by the Director of Athletics and Activities, Activities Facilitator, Building Principal, or designee.
- Comply with the District's activities-committee pool assignment process and applicable sponsor notification and sign-up procedures.
- Comply with all applicable federal and state laws and District policies, including requirements related to FERPA, Title IX, discrimination, harassment prevention, student confidentiality, and student safety.
- Represent Proviso Township High Schools District 209 professionally and serve as a positive role model for students.
- Perform other duties related to the assignment as directed by school or District administration.
TERMS OF ASSIGNMENT:
This is a non-tenure, extra-duty stipend assignment contingent upon sufficient student participation, program approval, and available funding. The assignment is not subject to continued renewal and may be discontinued in accordance with District procedures and applicable agreements.
Compensation shall be provided as a stipend in accordance with the applicable Proviso Teachers Union Collective Bargaining Agreement. The stipend is compensation for the responsibilities associated with the extra-duty assignment and is not calculated based on hours worked.
Employment and assignment are subject to all applicable background clearance and other requirements established by Illinois law and District policy.
