Job description

The Integrity Project Administrator responsibilities include, but are not limited to:

  • Inputs requests for AFE (Authorization For Expense) projects in Oracle. Verify all data fields are entered accurately for management approval.
  • Verify company share, company number, and cost center for every project.
  • Monitors Oracle to ensure AFEs are approved within the required time period.
  • Runs report for AFE end dates. Updates project end dates in Oracle.
  • Update the vendor list in Oracle.
  • Updates Pipeline Integrity estimates to reflect WBS structure. Maintains consistent WBS tracking throughout project lifecycle - setup, tracking, and closeout.
  • Reviews AFE reports - monitoring project expenditures. Issues reports and feedback to Project Managers.
  • Routinely submit and track project invoices.
  • Updates the AFE tracker with new AFEs, change orders, warning letters and scope changes.
  • Maintain and iterate on Microsoft Excel trackers, estimate sheets, and reports.
  • Assist in the annual budget process by locating missing data and verifying data provided by Project Managers, other departments, contractors, or accounting.
  • Track project updates from Project Managers and enter updates into a Microsoft Access database.
  • Request maps and other documents from various departments for projects.
  • Proofread project descriptions and make spelling, grammar and sentence structure changes as required.
  • Responds to requests from accounting, internal audit, commercial, project controls, etc. and provides feedback to Pipeline Integrity management.
  • Schedule meetings, book meeting rooms, and manage schedules for the leadership team.

The successful candidate will meet the following qualifications:

  • High school degree or GED is required.
  • Associate's degree or greater is preferred. 
  • Minimum of 2 years' experience in Project Management administrative support or equivalent is required.
  • Basic knowledge of Microsoft Word and Excel is required.
  • Basic knowledge of Microsoft Access is preferred.
  • Basic knowledge of Oracle is preferred.
