What does an adoption coordinator do?

An Adoption Coordinator is responsible for managing and facilitating the adoption process for animals or children, depending on the organization they work for. Their duties include screening potential adopters, organizing meet-and-greets, handling paperwork, and providing education and support throughout the adoption journey. They work to ensure that each placement is safe and suitable for both the adoptee and the adoptive family. Additionally, Adoption Coordinators may collaborate with shelters, agencies, and other professionals to promote successful adoptions.

What are the key skills and qualifications needed to thrive as an adoption coordinator, and why are they important?

To thrive as an Adoption Coordinator, you need a background in social work, counseling, or a related field, often supported by a relevant degree and experience with adoption processes. Familiarity with case management software, child welfare regulations, and documentation systems is typically required. Outstanding interpersonal skills, cultural sensitivity, and strong organizational abilities help build trust with families and manage complex cases. These skills ensure successful placements and support the well-being of children and families throughout the adoption journey.

What are some common challenges faced by adoption coordinators and how can they be addressed?

Adoption Coordinators often encounter challenges such as balancing the emotional needs of prospective adoptive families with the best interests of the children. Managing sensitive information, navigating complex legal and regulatory requirements, and handling high caseloads can also be demanding. To address these challenges, coordinators rely on strong communication skills, organizational abilities, and ongoing training in trauma-informed care and adoption law. Collaboration with social workers, legal professionals, and support staff is essential for successful placements and providing comprehensive support to all parties involved.

Job description

Job Description: AI Enablement & Adoption Coordinator (Contractor)

Team: Office of AI, Global Technology Solutions

About the Role

This role sits within the Office of AI, part of Gap Inc.'s Global Technology Solutions organization. The Office of AI is scaling AI fluency, adoption, and proficiency across ~10,000 desk-based employees. We're looking for a hands-on contractor to support the day-to-day operations of our AI learning and adoption programs โ€” from administering our AI learning platform to coordinating events and helping grow our AI Champions network. This is a great fit for someone who thrives on operational rigor, enjoys learning program logistics, and wants to be part of a fast-moving, high-visibility AI transformation effort.

What You'll Do:

LMS Administration: Manage and maintain our AI learning platform, including content uploads, course assignments, badge tracking, and troubleshooting access issues.

Content Coordination: Organize, update, and help produce learning content related to AI tools, responsible use, and Gap's AI Guiding Principles.

Learning Events: Coordinate logistics for AI learning events and sessions โ€” scheduling, communications, registration tracking, and post-event follow-up.

AI Champions Network: Support the day-to-day management of our AI Champions program, including onboarding new champions, coordinating communications, and tracking engagement across business units.

Adoption Reporting: Help track and report on learning progress, badge completion, and tool adoption metrics across the organization to support leadership updates.

Cross-functional Support: Partner with the Office of AI team on internal communications and rollout logistics tied to AI proficiency and adoption initiatives.

What We're Looking For:

Experience administering an LMS or similar learning platform Strong organizational skills and comfort managing multiple workstreams and stakeholders at once Experience coordinating events, programs, or communities (a champions/ambassador network background is a plus) Clear, professional written communication skills Comfort working in a fast-paced, evolving environment where priorities can shift Genuine interest in AI tools and how organizations build adoption and fluency at scale

Bonus: experience with reporting/dashboards (Excel, SharePoint, or similar)

Why This Role:

You'll be embedded in one of Gap Inc.'s most visible transformation efforts, working directly with the team driving company-wide AI adoption โ€” with real ownership over the programs that keep thousands of employees learning and engaged.
