An Admitting Coordinator is a healthcare professional responsible for managing the admission process for patients entering a medical facility, such as a hospital or clinic. They gather patient information, verify insurance, coordinate bed assignments, and ensure all necessary documentation is complete. Admitting Coordinators often serve as the first point of contact for patients and work closely with medical staff to streamline admissions and provide a positive patient experience. Their role is essential for maintaining efficient operations and accurate patient records.

What are the key skills and qualifications needed to thrive as an admitting coordinator?

To thrive as an Admitting Coordinator, you need strong organizational abilities, attention to detail, and knowledge of healthcare admissions processes, typically supported by a high school diploma or associate degree in a related field. Familiarity with hospital information systems (HIS), electronic health records (EHR), and patient registration software is commonly required. Excellent communication, customer service, and problem-solving skills help you interact effectively with patients, families, and medical staff. We’re hiring a fully licensed therapist as Admissions Director to lead intake, assessments, and enrollment for an outpatient behavioral health clinic serving adolescents and young adults in IOP/PHP programs. This role blends clinical oversight with relationship-building—guiding families through the admissions process while ensuring appropriate level-of-care decisions and compliance with Virginia standards.

  • Team Collaboration & Leadership: Work closely with clinical, administrative, and billing teams to coordinate admissions; supervise Case Managers; and participate in leadership meetings to align on strategy and census needs.

  • Documentation & Compliance: Maintain accurate records in Salesforce and BestNotes, complete required clinical documentation, and ensure all legal documents and consents are properly handled in compliance with regulatory standards.

  • Outreach & Relationship Building: Engage in special events, build relationships with referral partners, and collaborate with marketing and admissions teams to support tours and community engagement.

  • Clinical Support & Development: Perform clinical duties as needed, assist with application reviews, and complete all required training to support program needs and uphold quality care standards.

  • Master’s degree in a relevant field is required.
  • Full clinical licensure in Virginia (LCSW, LCPC, LMFT) required. A provisional license can not be accepted for this role.
  • 1–2 years of experience conducting behavioral health assessments.
  • Proficiency in administering suicide screening tools such as the C-SSRS.
  • Strong verbal and written communication abilities.
  • Effective problem-solving, prioritization, and decision-making skills.
  • Strong organizational and time management capabilities.
  • Collaborative team player.
  • Ability to thrive in a fast-paced, results-driven environment.

  • Medical, Dental & Vision Insurance – Multiple plan options including PPO and HDHPs with HSA eligibility and company contributions.
  • Paid Parental Leave – Up to 6 weeks fully paid for exempt employees and 4 weeks for non-exempt.
  • Life & Disability Coverage – Company-paid life, AD&D, and long-term disability; voluntary life and optional short-term disability available.
  • 401(k) with Company Match – Retirement savings with matching contributions after eligibility period.
  • PTO & Holidays – Competitive PTO accrual plans and paid holidays throughout the year.
  • Employee Assistance Program (EAP) – Free, confidential support for life’s challenges.
