Job description

Market Range: 06 | Hiring Salary: $19.67/Hourly


The Administrative Associate 3 performs a range of administrative functions for maximum efficiency within the Forensic Center, with the primary responsibility for maintaining accurate financial records and processing accounting transactions (processing invoices, purchase orders, payments, deposits, and other financial transactions). This position also provides comprehensive administrative support, including answering and directing telephone calls, maintaining case files and records, and assisting vendors.

EDUCATION: High School Diploma or GED. (Associate's Degree preferred.) (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of experience in a multifaceted administrative role, preferably with significant responsibility for accounting, financial administration, records management, and customer/vendor support; OR Associate's Degree and two (2) years of related work experience; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to communicate with grieving family members in a compassionately. 
  • Ability to coordinate multiple aspects of a front office/reception environment.
  • Proficiency with Microsoft Office applications.
  • Ability to learn and utilize accounting and case-management systems.
  1. Processes all deposits and other payments for services conducted by the center.
  2. Reconciles the Center's Accounts Receivable/Claim-for-Fee monthly billing to the State of Tennessee on behalf of Shelby County, as well as the bi-monthly billing for Out of County Autopsies, Consultation Services and other accounts receivable services billed by the West Tennessee Regional Forensic Center.
  3. Audits and verifies NMS and Affordable invoice statements.
  4. Manages inventory control and assists with ordering clinical and non-clinical supplies for each auxiliary within the forensic center.
  5. Receives and assists visitors, customers, vendors, and other individuals contacting the office.
  6. Enters and maintains information in departmental databases, accounting systems, and other electronic record-keeping systems.
  7. Creates, organizes, maintains, and updates case files and related records in accordance with established procedures and records-retention requirements. 
  8. Performs other related duties as assigned.
