Job description

We are looking for a dependable, organized, and energetic Administrator Assistant / Shipping Assistant to support our daily operations.

This is a hands-on role that combines office administration, customer service, order processing, and warehouse support. You will help coordinate the daily flow of orders from the time they are received until they are delivered, ensuring accuracy and helping minimize delivery errors.

The ideal candidate is detail-oriented, enjoys multitasking, communicates well with customers and coworkers, and is comfortable working both in an office and warehouse environment.

Key Responsibilities

Administration Assistant & Customer Service

• Answer incoming phone calls professionally.

• Take customer orders by phone and assist walk-in customers.

• Respond to customer inquiries in a courteous and timely manner.

• Perform general administrative and front desk duties.

• Maintain accurate customer and order records.

Order Entry & Order Management

• Enter customer orders accurately into the system.

• Review orders for completeness and accuracy before processing.

• Coordinate with sales staff and warehouse personnel to ensure orders are prepared correctly.

• Verify invoices, packing slips, and shipping documentation.

• Help ensure products are delivered to the correct restaurant or customer.

• Identify and resolve order discrepancies before deliveries leave the warehouse.

• Assist with inventory-related data entry as required.

Shipping & Warehouse Support

• Assist with picking, packing, and preparing orders for delivery.

• Help organize orders by delivery route.

• Ensure drivers have all required paperwork, invoices, and products before departure.

• Support shipping and receiving activities, including loading and unloading deliveries.

• Assist in maintaining an organized, clean, and safe warehouse.

• Lift and move products weighing up to 50 lbs as needed.

Basic Accounting & Administrative Support

• Assist with basic bookkeeping and administrative accounting tasks.

• Enter invoices and maintain accurate records.

• Support filing, document management, and other administrative duties.

• Assist ownership with various office projects as required.

Teamwork

• Work closely with the owners, office staff, warehouse personnel, sales team, and delivery drivers.

• Be willing to assist in different areas of the business when needed.

• Help improve workflow and reduce errors throughout the order fulfillment process.

• Contribute to a positive, team-oriented workplace.

Qualifications

• Previous experience in Office Administration or Customer Service.

• Experience with data entry and basic bookkeeping/accounting.

• Strong attention to detail and organizational skills.

• Comfortable multitasking in a fast-paced environment.

• Excellent verbal and written English communication skills.

• Strong computer skills including Microsoft Excel and Microsoft Word.

• Ability to work independently while contributing to a team.

• Dependable, punctual, and professional.

• Comfortable lifting up to 50 lbs.

• Experience in food distribution, wholesale, logistics, or warehouse operations is considered a strong asset.

Preferred Qualifications

• Experience with inventory management or shipping.

• Knowledge of restaurant or food service operations.

• Experience using accounting or ERP software (QuickBooks, Sage, or similar) is an asset.
