As an Legal Executive Assistant, you will play a critical role in supporting senior leadership and ensuring seamless daily operations. Your attention to detail and organizational skills will help drive efficiency and enable executives to focus on strategic priorities.
Key responsibilities include:
  • Coordinating and managing calendars, meetings, and travel logistics for senior executives, prioritizing engagements and optimizing time utilization
  • Organizing and supporting governance and administrative tasks, including board materials, contract routing, records management, and expense reporting
  • Facilitating end-to-end meeting coordination, including agenda preparation, invites, materials distribution, and follow-ups
  • Ensuring accurate and timely handling of administrative operations to enable seamless leadership functions

Requirements
Required Qualifications:
  • Experience supporting C-suite or senior executives as an Executive Assistant or in a similar role
  • Experience managing complex executive calendars and scheduling meetings across multiple stakeholders
  • Experience coordinating executive travel logistics, including flights, hotels, and itinerary changes
  • Experience organizing meetings end-to-end, including agendas, invites, materials distribution, and follow-ups
  • Experience with administrative operations such as contract routing, records management, and expense reporting
  • Proficiency with Microsoft 365 (including Outlook), Google Workspace, Teams or Zoom, and document management tools
  • Authorized to work in the United States
Preferred Qualifications:
  • Experience supporting an executive leadership team
  • 1-3 years of combined experience as an Executive Assistant, Paralegal, or Legal Assistant in a corporate or law firm environment (Preferably supporting executives within the construction industry or a heavy-industry corporate environment)
  • Experience managing sensitive legal correspondence, tracking billable hours, and reviewing legal documents
  • Strong background in drafting and reviewing legal documents, contracts, and subcontracts relevant to construction law (e.g., lien waivers, compliance forms)
  • Bachelor's degree or equivalent professional experience
  • Proficiency with expense reporting tools such as Concur
