Job Summary:
American Marketing & Publishing (AMP) is seeking an organized and detail-oriented HR Onboarding & Operations Coordinator to support the administrative processes that create a seamless onboarding experience for new employees while assisting with day-to-day office operations.
This position works closely with Human Resources, Recruiting, Sales Support, Accounting, Information Technology, and Marketing to coordinate onboarding logistics, prepare training materials, maintain office and onboarding supplies, and provide administrative support for company meetings, events, shipping, and facility operations. The ideal candidate thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in delivering an exceptional first-day experience for every new employee.
Pay: $21.00 per hour

Principal Duties and Responsibilities include but are not limited to:
Employee Onboarding & Training Support
  • Prepare all onboarding materials for new hire orientation classes.
  • Print, assemble, bind, laminate, and organize training materials.
  • Prepare new hire packets, recruiter packets, lanyards, badges, folders, and welcome materials.
  • Assemble and ship onboarding materials and FedEx packages for remote employees.
  • Ensure training rooms are fully prepared prior to each onboarding class.
  • Coordinate with Human Resources, Recruiting, Sales Support, and Information Technology to ensure new employees are prepared for their first day.
  • Maintain onboarding checklists and administrative processes to ensure consistency and accuracy.

Administrative Operations
  • Order, maintain, and replenish office, onboarding, and training supplies.
  • Monitor inventory levels and coordinate purchasing requests with Accounting.
  • Assist with facilities-related administrative requests.
  • Support general office organization and administrative operations.

Event & Meeting Coordination
  • Coordinate lunches, refreshments, and meeting logistics for onboarding classes and company training events.
  • Assist Human Resources and Marketing with employee events and company meetings.
  • Support company event logistics, including meeting setup and administrative coordination.
  • Assist with travel logistics for company-sponsored events as needed.

Shipping & Logistics
  • Prepare FedEx shipments for onboarding and recruiting activities.
  • Coordinate shipment of recruiting materials and sales supplies.
  • Track and resolve shipping issues as assigned.
  • Maintain shipping supply inventory.

Employee Support
  • Serve as an administrative resource for new employees throughout the onboarding process.
  • Coordinate welcome materials and employee recognition items.
  • Assist with employee appreciation activities and special Human Resources initiatives.
  • Support administrative projects and initiatives as assigned.
  • Perform additional duties as assigned.

Educational Requirements:
  • Associate's or Bachelor's degree preferred.
  • College degree or a minimum of two (2) years of administrative, Human Resources, office management, or operations experience required.
  • Equivalent combinations of education and relevant professional experience will be considered.

Other Requirements:
  • Minimum of two (2) years of administrative, Human Resources, office management, or operations experience.
  • Exceptional organizational and time management skills.
  • Strong attention to detail with a high degree of accuracy.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Ability to prioritize multiple deadlines while maintaining quality and accuracy.
  • Experience supporting employee onboarding or training programs preferred.
  • Experience coordinating meetings, company events, or training sessions preferred.
  • Experience with shipping logistics, including FedEx and/or UPS, preferred.
  • Experience maintaining inventory levels and coordinating office purchasing preferred.
  • Experience supporting Human Resources or Recruiting teams preferred.
  • Demonstrated ability to work independently while collaborating effectively across multiple departments.

Functional Demands:
  • Ability to work on-site in a fast-paced office environment.
  • Ability to manage multiple priorities while maintaining a high level of organization and attention to detail.
  • Ability to lift and move boxes weighing up to 30 pounds.
  • Ability to sit, stand, bend, and move throughout the office as needed during the workday.
  • Reliable transportation and consistent on-site attendance required.
