About the Role
Join our high-performing team as an Administrative Assistant supporting the Controller Vice President and leadership group at a leading defense and technology organization. This pivotal position offers diverse responsibilities, visibility with executive leadership, and opportunities to drive organizational efficiency in a collaborative, fast-paced environment. Ideal for candidates who thrive in dynamic settings and are passionate about delivering exceptional administrative support.
Responsibilities
- Provide comprehensive executive support, including managing correspondence, scheduling meetings, arranging travel, and preparing expense reports.
- Proactively coordinate executive calendars and resolve scheduling conflicts in collaboration with cross-functional administrative teams.
- Manage complex, multi-leg travel itineraries and troubleshoot travel-related issues.
- Oversee conference room bookings, including technology setup for VTC, Teams, and related IT.
- Maintain and order office supplies, coordinate shipments, and handle mail efficiently for the VP and team.
- Support the business rhythm by anticipating needs, prioritizing tasks, and addressing stakeholder inquiries promptly.
- Lead or participate in ad-hoc projects and initiatives to support departmental goals.
- Exercise discretion with confidential information and provide after-hours support as needed for critical business issues.
Required Skills and Experience
- Minimum 5 years of progressive administrative support experience for senior leadership/executives.
