Job description

Administrative Associate III
Location: Palo Alto, CA (Hybrid)
Duration: Long-Term

Key Responsibilities:
Manage complex calendars, schedule meetings, coordinate travel, and resolve scheduling conflicts.
Organize conferences, seminars, meetings, and events, including vendor coordination, logistics, and budget tracking.
Draft, edit, and proofread correspondence, reports, presentations, grants, and other documents.
Maintain reports, spreadsheets, websites, and departmental documentation.
Handle phone and email inquiries, directing requests to appropriate teams.
Process financial transactions, reconcile budgets, track expenses, and assist with vendor management.
Coordinate office operations, maintenance, office moves, and administrative projects.
Act as a liaison between faculty, staff, and external stakeholders while independently managing administrative priorities.

Required Skills:
Strong executive/administrative support experience in a fast-paced environment.
Expertise in calendar management, travel coordination, and event planning.
Excellent written and verbal communication skills.
Experience with budgeting, expense tracking, and financial reconciliation.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
