This position plays an essential role in supporting our executive team and corporate staff while helping to ensure the office operates efficiently each day.

Position Summary
The Administrative Assistant provides day-to-day administrative support to corporate leadership and team members while serving as a key point of contact for employees, vendors, and visitors. This role requires exceptional organizational skills, strong communication abilities, and the capability to manage multiple priorities with accuracy and professionalism.
Job Duties
• Answer, screen, and direct incoming phone calls professionally.
• Receive, sort, and distribute incoming mail and prepare outgoing mail and packages for shipment.
• Coordinate calendars, meetings, appointments, conference rooms, and travel arrangements.
• Provide administrative support to executives and corporate team members.
• Prepare, proofread, and distribute correspondence, reports, presentations, forms, and other business documents.
• Assist in preparing regularly scheduled reports and presentations.
• Maintain and update office procedures and administrative documentation.
• Order and maintain office supplies while researching cost-effective vendors and purchasing options.
• Maintain company contact lists and organizational records.
• Process, submit, and reconcile expense reports.
• Serve as a professional point of contact for internal employees, vendors, residents, and other external partners.
• Coordinate with executive assistants and department leaders to support organizational initiatives and special projects.
• Assist with corporate meetings, company events, and other administrative projects as assigned.
• Perform additional duties as assigned to support the evolving needs of the business.
Job Requirements
• Minimum of three (3) years of experience as an Administrative Assistant, Executive Assistant, or Office Administrator in a fast-paced, customer-focused environment. Real estate or property management experience is preferred.
• Strong knowledge of office management systems and administrative procedures.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
• Experience using standard office equipment and technology.
• Excellent organizational and time management skills with the ability to manage multiple priorities.
• Strong attention to detail and excellent problem-solving abilities.
• Outstanding written and verbal communication skills.
• Professional demeanor with exceptional customer service and interpersonal skills.
• Ability to maintain confidentiality and exercise sound judgment.
• Self-motivated with the ability to work independently and collaboratively.
Education
• High school diploma or GED required.
• Associate's degree or administrative certification is preferred but not required.
