Job description

Overview
The Youth Development Administrative Assistant provides administrative and clerical support to ensure the
smooth daily operation of a child care center. This role assists with family communication, recordkeeping,
and general office management while maintaining a welcoming and professional environment for children,
families, and staff.
Schedule: Monday-Friday, 12:00 PM - 6:00 PM. Availability during these required hours is necessary for the position.
This job announcement is not intended to be inclusive of all functions, responsibilities and qualifications associated with the position, however, representative of the essential job functions and typical criteria considered necessary to successfully perform the position.
Responsibilities
  • Assist in overall site operations, including opening and closing duties and emergency procedures in
    accordance with site and YMCA standards.
  • Audit and maintain confidential child and family files to ensure compliance with district contracts,
    privacy regulations and YMCA standards, including the maintenance of attendance records in
    paper and electronic filing systems
  • Manages with child registration confirmation, daily sign-in/sign-out procedures.
  • Ensures professional and friendly communication with participants, families, school and YMCA
    staff, including prompt responses to phone or email inquiries.
  • Coordinate communication with parents regarding events, policies and program updates, including
    delivering behavior/incident reports.
  • Order and maintain inventory of office and classroom supplies.
  • Assist the site supervisor with administrative processes and make recommendations to improve
    record keeping and best practices.
  • Manage program reporting through district and YMCA systems.
  • Perform general office duties such as filing, copying, scanning, and data entry.

Qualifications
  • High school diploma or equivalent required; associate degree in business administration, early
    childhood education, or a related field preferred.
  • Previous administrative or office experience; experience in a child care or educational setting is
    preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and child care management software is an
    asset.
  • Strong organizational, communication, and customer service skills.
  • Ability to multitask and work independently in a fast-paced environment.
  • High attention to detail and ability to maintain confidentiality.
