About the role
The Real Estate Coordinator plays a critical role in supporting the day-to-day management and optimization of MyEyeDr.'s growing real estate portfolio. This position serves as a key partner to the Real Estate & Facilities team, providing operational, administrative, and analytical support across lease administration, site development, portfolio management, and strategic real estate initiatives.

Working closely with internal stakeholders, landlords, brokers, vendors, and other external partners, the Real Estate Coordinator helps ensure the effective execution of real estate transactions, compliance with lease obligations, and the maintenance of accurate portfolio data. This role requires strong attention to detail, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. The Real Estate Coordinator reports directly to the Vice President, Real Estate & Facilities.

This is a hybrid remote role, offering a flexible work arrangement out of our Raleigh, NC office, with an in-office requirement of two days per week.

You Will

  • Responsible for uploading and maintaining real estate and legal documents within lease administration systems, ensuring accuracy and compliance.
  • Prepare materials and reporting for Real Estate Committee, Capital Project Approval meetings, and other strategic initiatives.
  • Coordinate execution and distribution of real estate-related legal documents.
  • Utilize demographic and mapping tools to support site selection, market analysis, and location performance assessments.
  • Reconcile lease-related invoices and financial records in partnership with Lease Accounting and external vendors.
  • Support compliance with lease terms, including rent payments, security deposits, and tenant improvement allowance administration.
  • Maintain accurate landlord and vendor records, including ownership updates, ACH information, and insurance documentation.
  • Partner with Construction, Facilities, and landlords to secure approvals, signage permits, and resolve property-related matters.
  • Assist in evaluating lease obligations and facilities-related issues impacting office locations.
  • Track and communicate critical lease dates, including expirations, renewals, and notification requirements.
  • Support Real Estate Managers with site tours, market research, and location performance insight.

About You

  • Associate degree or equivalent experience required; Bachelor's degree preferred.
  • Minimum of two years of professional experience, preferably within commercial real estate, lease administration, or a related field.
  • Strong ability to understand and interpret basic real estate, lease, and legal concepts.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Experience working with lease administration systems and related databases.
  • Familiarity with demographic and mapping tools such as SiteIntel, Trade Area Systems, Buxton, Tetrad, or similar platforms is a plus.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Demonstrated ability to collaborate effectively across teams while providing exceptional customer service and support.
