A day in the life of a Billing Administration Associate: 

  • Manage account restructures: data entry, prepare addendums, confirm revised loan terms. 
  • Annotate accounts to facilitate debt sales and improve recovery efforts. 
  • Handle insurance claims: file tagging, liaising with insurers, and customer updates. 
  • Address customer inquiries via phone/email, provide accurate info, resolve concerns promptly. 
  • Issue administrative/financial documents: balance letters, release letters, contracts, payment schedules. 
  • Maintain organized records of interactions, activities, complaints, and correspondence. 
  • Review account files for compliance, flag discrepancies, initiate corrections. 
  • Prepare Ministry of Transport (MTO) documentation: contracts, bill of sales, Power of Attorney (POA), PPSA documents. 
  • Obtain e-signatures, upload finalized documents to accounts. 
  • Distribute billing documents: balance letters, transaction histories, payment schedules, contracts. 
  • Ensure protocol compliance through file reviews and follow-ups. 
  • Process payments, update customer info, ensure correct PODs application and reconciliation. 
  • Escalate potential fraud or unusual behavior for investigation. 
  • Resolve credit bureau disputes: update TransUnion & Equifax for accurate reporting. 
  • Create and issue warrants per procedures and regulations. 

What we are looking for: 

  • At least a year experience in customer service, administrative, or support roles. 
  • Familiarity with Asset and Edge systems is highly desirable. 
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) is essential. 
  • Exceptional attention to detail and accuracy. 
  • Strong organizational skills with the ability to multitask, prioritize tasks, and manage time efficiently. 
  • Capable of working effectively both independently and as part of a collaborative team. 
  • Must be available to work full-time at our Pickering, ON office. 

Operational hours: Monday to Friday 8:30 AM - 9:00 PM; one Saturday a month from 9:00 AM - 4:00 PM 

Additional Requirements for Internal Candidates:

  • Must have been in your current role for 9 months.
  • Have the endorsement / support of your current manager.
  • Must not be currently under corrective action or within 6 months of any previous corrective action.
  • Must be achieving or exceeding the required level of individual performance in your current role.
