Job description

Office Admin

Our offices run on the small things nobody notices until they break — supplies that are stocked, meetings that have the right room, and everyday office needs that get handled before they slow anyone down. As Avoca grows across NYC and Santa Barbara, the pace and volume of office operations are growing with us. We're hiring an Office Admin to help keep that growth organized, reliable, and employee-friendly — making the day-to-day feel seamless while supporting bigger operational moments like our upcoming office move and internal events.

What You'll Do

  • Support our Office Manager in keeping Avoca offices running day to day — supplies, mail, meeting room setup, guest coordination, and general office upkeep
  • Serve as a visible, reliable point of contact for employees with day-to-day office needs or questions, escalating issues when needed.
  • Support the office move later this year — packing coordination, inventory tracking, team communications, and being on-site as we settle in
  • Help coordinate deliveries, repairs, and vendor visits to keep office operations moving smoothly
  • Help set up and break down for company events, off-sites, and all-hands meetings
  • Track and reorder office supplies and pantry items before they run out
  • Flag facilities issues quickly and follow through on next steps until they're resolved
  • Take on ad hoc projects that make the office run better as the team grows

What You'll Bring

  • 2+ years in an office administration, coordination, or operations support role
  • Experience supporting an office move or physical relocation is a strong plus
  • Highly organized, with the ability to juggle several small tasks at once without dropping any of them
  • Comfortable being hands-on — this is not a desk-only role, especially during the move
  • Clear, friendly communicator who employees feel comfortable approaching
  • A proactive mindset — you spot the supply closet running low or the chair that's broken before someone has to ask
  • Proficiency with basic office tools (calendar systems, email, spreadsheets)

Who You Are

  • You take pride in things running smoothly, even when no one's watching to notice
  • You stay calm and organized during a chaotic day — a move, an event, a last-minute office issue
  • You're a team player who's happy to jump in wherever's needed, without needing the task to be "your job" first
  • You communicate clearly and warmly, whether it's a supply update or a moving-day logistics email
  • This role is in-office — you're energized by being physically present and available to the team

Benefits

  • Comprehensive medical, dental, and vision insurance
  • Company-sponsored 401(k) through Vestwell
  • Flexible PTO plus U.S. federal holidays
  • Company-wide off-sites
  • Daily in-office lunch through Parkday
  • Dinner covered when working late
  • Commuter benefits and late-night rideshare
  • Standing desks and workspace accommodations available on request
  • All core tools and software provided

Compensation: The expected base salary for this role is $80,000-$100,000 with final compensation based on experience, skills, and qualifications determined during the interview process. Avoca's total compensation package includes base salary, [bonus, if eligible], equity, and a comprehensive suite of benefits and perks. Our Recruiting team will share the full details as you progress through our hiring process.
