Responsibilities

As an Associate Administrative Assistant, you will manage day to day sales administrative accountabilities including daily audits of route documents, bank deposit preparations and update cashiering system. Required to update and maintain several operating tools - POD Files, Coin Log, Bank Deposit Log, Driver Over & Short Log & Customer Overpayment Log.

  • Cashier and reconcile Delivery and Full-Service Vending routes, utilizing SAP, banking applications and cash counting machines
  • process remote check and money orders deposits, compiling of physical cash and coin deposits
  • Ability to track over/short amounts in the SAP Program and communicate issues back to Driver/Sales Representatives or Delivery/Sales leadership
  • Complete cashiering documentation daily, which includes running and analyzing reports and maintaining activity logs
  • Maintain security of cash room.  Serve as primary point of contact for armored car service
  • Serve as primary back up for Administrative peer's responsibilities including but not limited to settlement, accounts payable and reception
  • Manage, track and communicate various financial administrative controls
  • Location process owner for onboarding of new hire and transfer employees
  • Maintain confidentiality of documents and information
  • Monitor and support DOT & Driver Qualification Files compliance for location
  • Provide planning & execution support for company events such as team meetings and employee recognition opportunities 
  • Perform task associated with location support responsibilities, including but not limited to customer/supplier interactions, visitors, mail, running reports, copying, filing, faxing and telephone support
  • Respond to email, phone, and direct messages in a timely and professional manner
  • Provide additional administrative support for location and/or market as assigned 

Compensation and Benefits:

  • The expected compensation range for this position is between $39,500 - $63,100.
  • Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Your recruiter can share more about the specific salary range during the hiring process.
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications

OPTIMAL PRIOR EXPERIENCE:

  • High School Diploma Required
  • 2+ year experience Admin Support Consumer Goods Company
  • Detailed knowledge and experience in Microsoft Excel, Word, PowerPoint, etc.
  • Proficient typing skills
  • Ability to become proficient in multiple IT applications
  • Experience in prioritizing work and multi-tasking - Strong sense of urgency
  • Outstanding organizational and follow-up skills - Discretion with sensitive information
  • Excellent written and verbal communication skills
  • Requires creative thinking and problem-solving skills with attention to detail
  • Respects & values differences act with integrity and operate with justice

TECHNICAL SKILLS:

  • Provide dedicated administrative support in a professional, confidential, and organized manner
  • Strong analytical skills, decision-making skills and forethought to overt potential future issues
  • Ability to verify deposits and prepare consolidated bank deposits daily
  • Update the cashiering systems and analyze documents with customer-specific information
  • Monitor email and phone calls; proactively respond to and/or coordinate issues
  • Organize/maintain department files, both electronic and hard copy (moving files from inside office to secure storage outside).
  • Daily interaction with all Functional Teams
  • Maintain a high level of integrity and professionalism in handling confidential material daily
  • Ability to work proficiently and calmly under pressure situations
  • Administer specific applications/time-bound processes within multiple programs
  • Work on special projects as necessary
  • Mandatory but not guaranteed overtime work, including Saturday's.
