Job description

Assistant Director of Gift Operations
The University of Texas MD Anderson Cancer Center is a leading institution focused on cancer care, research, education, and prevention. Within Philanthropy, the Gift Operations team plays a critical role in managing, recording, and reconciling charitable contributions to ensure donor intent, financial accuracy, and compliance with legal and ethical standards. The Assistant Director of Gift Operations supports this work by overseeing complex gift revenue activities and strengthening operational integrity across philanthropic finance.
The Assistant Director of Gift Operations provides leadership and hands-on expertise in gift revenue accruals, reconciliations, and end-to-end gift and pledge processing. The Assistant Director of Gift Operations partners closely with Philanthropy colleagues, faculty, and financial teams across UT MD Anderson to ensure accurate reporting, efficient processes, and high-quality donor stewardship.
The ideal candidate brings strong experience in financial operations, reconciliations, and process improvement within a complex organization, with the ability to work effectively with general ledger systems and donor or CRM platforms. This individual demonstrates strong attention to detail, sound judgment, and the ability to collaborate with faculty, gift officers, and financial partners while providing guidance on gift adjustments, fund setup, and financial reporting.

Responsibilities
Programmatic Project Execution
• Manage financial reconciliation and adjustment activities, including preparing and posting monthly revenue accruals
• Reconcile PeopleSoft General Ledger transactions to Journey CRM to ensure gift revenue accuracy
• Process fund transfers, returned donations, and endowment transfer requests
• Monitor, track, and resolve gift and adjustment inquiries within Journey CRM
• Develop, implement, and maintain processes, procedures, and quality initiatives focused on continuous improvement and efficiency
• Serve as the primary resource for Philanthropy new fund requests and chart of account setups
• Manage communication and working relationships with faculty and their financial delegates
• Provide coverage for daily reconciliations of gifts posted to the General Ledger
• Ensure alignment between General Ledger activity and donor database transactions
• Research and provide residual OBIEE balance information upon request
Collaboration & Teaming
• Coordinate end-to-end philanthropic pledge and gift processing with fundraising and administrative teams
• Ensure accurate pledge documentation, credit card processing, journal entries, and quality assurance
• Support proper posting and reporting of gift revenue in the donor database and General Ledger
• Educate and guide Philanthropy staff on donation adjustments
• Engage with gift officers and administrative staff to ensure accurate gift postings
Stakeholder Engagement
• Collaborate with Research Finance, Financial Controls, and General Accounting on financial reporting
• Prepare monthly, quarterly, and ad hoc financial reports
• Support the Philanthropy monthly closing process
• Transfer unconditional pledge payment entries to appropriate accounts
EDUCATION
  • Required: Bachelor's Degree
  • Preferred: Master's Degree

WORK EXPERIENCE
  • Required: Two years or more in fundraising/non-profit, government agency, marketing, advertising, or public relations, law, healthcare or related industry. May substitute required education degree with additional years of equivalent experience on a one-to-one basis.
