About The Opportunity
The Regional Administrator is responsible for performing administrative functions in support of an assigned region. Responsibilities include a variety of general office duties, data entry, and verification of daily and weekly project information, as well as providing administrative support to regional leadership, multiple divisions including departments, and personnel. This position reports to the Regional Office Manager.
What you will be doing:
  • Utilizes various computer systems and software including Microsoft 365, Acumatica, Project Envelope, Qalibrate, Passport, UKG, Nitro and Samsara software to perform necessary tasks as required.
  • Performs thorough new job setup by reviewing contracts and gathering required startup documentation, including dig safes, certificates of insurances, permits, and other required information prior to the start of work.
  • Coordinates all inter-office communications, orders office supplies, coordinates office space and oversees maintenance of office and office equipment.
  • Verifies deadline driven payroll data and employee expenses into the accounting system.
  • Analyzes and processes field paperwork to prepare for month-end job costing reports.
  • Imports and enters job costing data for accurate month-end reporting.
  • Enters billings, verifies to edit reports and generates invoices in Acumatica.
  • Generates customer quotes, backlogs, contracts, and change orders using our own specialized software (Nitro).
  • Provides field activity support for pre-blast calls and other pre-blast required communications.
  • Obtains and renews dig safe clearances required by state.
  • Makes hotel reservations for personnel.
  • Answers and transfers incoming phone calls.
  • Sorts and delivers incoming mail.
  • Assists and is resource for other departments and divisions as needed.
  • Processes all UPS and FedEx shipments.
  • Coordinates and attends monthly meetings including any catering requirements.
  • Performs all other duties as assigned by the Regional Office Manager.
  • Commitment to a "Safety First" mentality throughout the organization.
  • No supervisory responsibilities.

Here's what we'll need from you:
  • Associate degree in Business Administration or related field.
  • Five (5) years of relevant administrative experience in the construction industry.
  • Broad base of general clerical/accounting and office management knowledge and skills.
  • Working knowledge of Microsoft 365.
  • Preferred: Bachelor's degree in business administration or related field.
  • Preferred: Administrative experience in the construction industry.
  • Preferred: Notary Public
  • Prolonged periods sitting at a desk and working on a computer.
  • Physical activity may also include bending, climbing, keyboarding, kneeling, lifting up to 10 pounds, reaching, sitting, standing, using the telephone and walking.
  • Ability to communicate information to others as well as observe details at close range.
  • Standard work week of Monday through Friday with business hours generally between 7:00 a.m. and 4:00 p.m.
  • Primary work is in an indoor, office locale in concert with other team members in similar proximity.
  • Work closely with other team members to coordinate responsibilities and communicate progress.
  • May require off-site meetings at respective department/division locations as needed.

About You
You have at least five years of relevant administrative experience, preferably in the construction industry. You also hold an Associate's degree in Business Administration or related field, Bachelor's degree is highly preferred. You are very knowledgeable in office management and possess a variety of clerical, accounting, organizational, and time management skills. You also possess strong verbal, written, and interpersonal communication skills with the ability to effectively engage with a wide variety of individuals both internally and externally. You are highly productive and thrive in a team environment. But honestly, this is not the only blueprint for success at MD&B.
