The University of South Alabama's Chemistry department is seeking to hire a Chemistry Stockroom Manager. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
- Responsible for supervising one of the Chemistry stockrooms (CHEM or SLB) to include: acquisition, preparation, and disposal of materials for instructional lab courses in the building where assigned, including assisting with development, setup and takedown of instructional labs.
- Maintains required and appropriate documentation of chemical use and waste generation / disposal.
- Supervises student stockroom assistants, including recruitment, training, and task assignment.
- Maintains records of students who owe fees to the Department, including reporting of fees or fines owed to Student Accounting.
- Coordinates with Facilities Management and external vendors as needed to resolve any infrastructure and/or instrumentation issues, including acquisition, maintenance, and repair.
- Coordinates with Environmental Health and Safety as needed for safety inspections (internal or external), safety training of students, faculty, and staff, proper storage of chemicals, lab inventories, or other issues.
- Properly uses and documents purchases using a PCard.
- Assists research faculty with lab management, including ordering of chemicals and supplies, waste disposal, and research lab maintenance issues.
- Communicates and coordinates with the Department Chair, Lab Manager, and faculty as needed.
- Manages procurement and provides support for instructional laboratories and their personnel.
- Procures all chemicals, solutions, equipment, and supplies.
- Supports preparation of weekly instructional laboratories.
- Acquires, stores, dispenses, tracks all chemicals, consumables, supplies, and equipment for laboratories.
- Keeps an updated Inventory of all items stocked.
- Updates price list for replacement equipment bi-annually.
- Acquires, stores, and documents usage of tax-free ethanol.
- Assists faculty with lab instrumentation and equipment maintenance, repair, and service.
- Ensures security of stockroom, laboratories, and classroom equipment.
- Ensures proper storage of all chemicals.
- Monitors ventilation and temperature of chemical storage areas.
- Keeps appropriate records of financial transactions.
- Hires, supervises, and directs student assistants and approves time sheet entries.
- Assigns appropriate tasks on weekly basis.
- Coordinates and maintains records of safety training.
- Teaches proper techniques, procedures, and calculations for reagent preparations.
- Trains student employees on stockroom procedures and interaction with faculty, staff, students, and any other guests who visit the stockroom window.
- Assigns cleaning of all instructional laboratories weekly.
- Supervises and instructs laboratory instructors, faculty, students, and stockroom assistants in the segregation and collection of chemical waste.
- Collects and properly stores chemical waste for all instructional laboratories.
- Keeps abreast of new laws/regulations governing hazardous chemical waste and its disposal.
- Coordinates and assists Safety and Environmental Compliance Department personnel in the documentation and disposal of chemical waste from instructional and research labs.
- Procures, receives, and delivers all compressed gases for department.
- Provides safe storage of full and empty cylinders.
- Keeps inventory and tracking records for all gas cylinders.
- Verifies and makes payment for cylinder rental invoices.
- Procures and receives liquid nitrogen and helium when require.
- Maintains relationship with vendors.
- Maintains appropriate records of students who owe fees or fail to check out of laboratory by the established deadline.
- Inputs into Banner and maintains records for HOLDs on student accounts.
- Issues appropriate reports on stockroom activities.
- Assists with policy making and Implementation, primarily concerning laboratories, safety issues, and procedures.
- Interacts with faculty, staff, students, university personnel from other departments, administration, and the public seeking chemical or general information.
- Assists the department chairman with any other assigned duties.
- Coordinates requests for Janitorial services.
- Serves as contact person for USA Maintenance and Central Utilities departments' repairs, HVAC system, fire alarm system, all instructional laboratory issues.
- Serves as contact for annual fire extinguisher inspection.
- Serves as contact for service on deionized water system.
- Monitors maintenance requests for correction/repairs of general problems.
- Serves as building maintenance supervisor to approve/disapprove requests.
- Makes necessary arrangements for modifying laboratory spaces, adding cabinets, shelves, etc.
- Receives and keeps documentation for all types of deliveries.
- Assists with laboratory equipment repairs.
- Coordinates installations of new equipment when necessary.
- Assists research faculty with ordering of supplies, waste disposal, and lab repairs.
- Serves as designated "Key Requester" for Key Management, and maintains appropriate records.
- Maintains USA Property records for departmental account.
- Assists Property department personnel with tagging of new equipment.
- Processes property disposal forms, monitors storage areas for these items until pick-up.
- Coordinates and assists maintenance personnel with removal of items for disposal.
- Ensures that property is safe for handling and disposal.
- Verifies presence of property during laboratory closures.
- Provides department chairman with continuing updates.
- Serves on the USA Safety Committee.
- Serves on the Chemistry Department Safety Committee.
- Provides current emergency contact information.
- Provides current faculty with contact Information to Safety and Environmental Compliance Department.
- Supervises safety training for students in instructional laboratories.
- Assists with determination of appropriate Personal Protective Equipment.
- Handles requests and coordinates safety Inspection and repairs for all fume hoods.
- Responds to laboratory accidents or emergency incidents and files report with Risk Management.
- Assists department chairman with continuing updates to security of building.
- Assists with Homeland Security inspections when appropriate.
- Serves as assigned building contact person for Central Utilities In case of fire or false fire alarms for the "all clear'' signal.
- Escorts Director of Safety and Environmental Compliance or his assignees and Fire Marshall during annual building and laboratory inspections.
- Serves as point of contact / escort for EPA and/or ADEM inspections.
- Coordinates appropriate corrections to safety Issues noted during safety inspection.
- Monitors all building areas for safety and cleanliness and makes corrections as necessary including monthly check of AED's, bi-annual check of safety showers, and annual check of eye wash stations.
- Regular and prompt attendance.
- Ability to work schedule as defined and additional hours as required.
- Related duties as required.
