Job description

We are seeking a detail-oriented and organized Accounting Administrative Assistant to join our accounting firm. However, during our busy months (Tax Season, February thru April) there is mandatory overtime with pay that is required for our office.

**Responsibilities:**

- Greet clients, answering questions and addressing concerns in a friendly and professional manner

- Manage the day-to-day operations of the office, including scheduling appointments, handling high call volume during tax season, collections, keeping up to date with emails, scanning documents, filing (clerical duties) and maintaining accurate records

- Utilize Google Suite to manage calendars, spreadsheets, letters and emails

- Demonstrate strong phone etiquette, answering and directing calls with precision and poise

- Assist in providing administrative support to staff members with bookkeeping records, payroll taxes, sales tax, audits, new businesses, personal and business tax returns

- Maintain an organized and efficient office environment

- Practice excellent time management skills to ensure all tasks are completed in a timely manner and meet all deadlines

- Proofread documents and reports to ensure accuracy and professionalism

- Assist with processing invoices and payments on QuickBooks, research tax laws, ordering supplies and etc.

- Maintain organized and detailed records

- Assist in the preparation of documents

**Qualifications**

- Experience as Admin. Assistant in accounting firm or private office

- Strong organizational skills with the ability to multitask and prioritize tasks effectively

- Proficiency with Google Suite (Sheets, Contacts, Calendar and Gmail) and other software's such as Microsoft Excel, Word and MailChimp

- Excellent communication and phone etiquette skills

- Ability to maintain confidentiality and handle sensitive information

- Strong proofreading and editing skills

- Ability to work independently and as part of a team
