Job description

he Accounting Assistant plays a critical role in maintaining the accuracy and integrity of Canadian Smart Systems' financial records. Reporting directly to the Controller, this position is responsible for supporting day-to-day accounting functions, managing financial transactions, assisting with payroll, and ensuring timely billing and collections.


The ideal candidate is highly organized, experienced with QuickBooks, and capable of managing multiple priorities in a fast-paced environment while maintaining strict confidentiality.


Key Responsibilities

  • Financial Administration
  • Perform account reconciliations and ensure financial records are accurate and up to date.
  • Process and record accounts payable and accounts receivable transactions.
  • Track company expenses and monitor transaction activity to support accurate reporting.
  • Maintain organized financial records and documentation in compliance with company policies.
  • Assist with month-end and year-end accounting processes.


Billing & Collections

  • Generate and distribute customer invoices.
  • Monitor outstanding receivables and follow up on overdue accounts.
  • Resolve billing discrepancies and maintain positive customer relationships.


Payroll & Reporting

  • Assist with payroll processing and employee expense reimbursements.
  • Prepare reports and spreadsheets to support management decision-making.
  • Verify payroll data and maintain employee records related to compensation.


Administrative Support

  • Support the Controller with special projects and financial analysis.
  • Collaborate with operations, project management, and sales teams to ensure accurate financial tracking.

Qualifications

Required

  • Minimum 3 years of accounting or bookkeeping experience.
