About the Role We are a commercial real estate management company in Downtown Los Angeles seeking an organized, detail-oriented Accounting Administrative Assistant to support our Accounting Manager and accounting staff. The ideal candidate is reliable, discreet, and ensures financial workflows are executed with precision and deadlines are met.

Responsibilities & Duties
Daily Operations
  • Process high-volume accounts payable including check runs
  • Support daily AP, AR, tenant billings, and rent collection
  • Maintain cash flow tracking and fulfill custom reporting requests
  • Assist with month-end and year-end close processes
Documentation & Filing
  • Maintain organized digital and physical accounting files
  • File and index vendor invoices, bank statements, insurance policies, property tax bills, and loan/lender statements
  • Assemble documentation for monthly close, audits, lenders, and ownership requests
Reporting Support
  • Prepare draft reports including expense summaries, AR/AP aging reports, and CAM backup schedules
  • Assist with monthly rent billing packages
  • Track reporting deadlines and flag missing documentation
Education & Experience Requirements
  • 3+ years of administrative or accounting support experience preferred
  • Solid understanding of accounts payable, general ledger coding, bank reconciliations, and financial statement review
  • Real estate or property management experience a plus
  • AppFolio proficiency preferred; QuickBooks, Yardi, MRI, or similar also accepted
  • Proficiency in Microsoft Office, OneDrive, Dropbox, and cloud-based file systems
  • Microsoft Excel skills a plus
  • Strong attention to detail and ability to handle sensitive financial information with strict confidentiality
