Position Overview

The Operations Manager reports to the Executive Site Director at our Baltimore site. The Operations Manager will closely partner across the site to create a strong, collaborative, and safe student environment conducive to scholars matriculating to college.

Primary Responsibilities

People and Culture

  • Collaborate across the site to create a strong student-centered and site culture.

  • Partner with the People and Culture Department to ensure new hires have cleared background checks before starting.

  • Serve as the point person for all driver's clearance items for site staff.

  • Support all CT staff onboarding by orienting employees to site culture, policies, and procedures. Ensure all staff have the supplies, equipment, and workspace needed to foster productivity and build community.

  • Ensure compliance with all clearance requirements for non-employees, including visitors, volunteers, contractors, etc.

  • Serve as the site point of contact for org-wide events and retreats.

Financial Accountability & Procurement

  • Lead site finance and accounting operations. This includes enforcing financial policies, executing local contracts, tracking and processing invoices, monitoring and distributing checks (including reimbursements), and managing the site's facilities budget.

  • Handle data reporting for philanthropic grants.

  • Manage procurement processes to ensure the site has adequate supplies, snacks, and equipment.

  • Manage the site's relationship with local vendors to promote high-quality and consistent service.

Facility Management

  • Ensure the site is clean, secure, and presents a welcoming space for staff, students, and visitors conducive to student learning.

  • Ensure the phone is answered during business hours and messages from partners, families, and scholars are responded to within 1 business day.

  • Serve as the day-to-day liaison between College Track and the building landlord or property manager, handling all repairs and maintenance requests.

  • Regularly review the premises to promptly address all maintenance, repairs, and replacement needs.

  • Ensure the physical environment reflects CT's updated facilities standards, culture, and brand. Manage facility renovations and capital repairs in coordination with the Central Operations team.

  • Manage site-based facility and operational vendor relationships.

  • Manage site access, assigning parking passes and key card access, and disabling key cards for offboarded staff.

  • Serve as point of contact and assist with logistics for site visits, events, and meetings.

Technology & Asset Management

  • Local IT Contact: Support staff with basic IT issues, act as the primary liaison between the site and Central IT staff or approved vendors. Oversee IT deliveries, manage audiovisual (AV) equipment, and ensure adherence to organizational IT protocols.

  • Local IT Equipment: Conduct biannual inventory and health checks; report losses, damages, or functionality issues to Central IT; support software and system updates when remote access is unavailable; secure scholar and unassigned devices; and coordinate device shipments to and from Central IT.

  • On-Site Tier 1 Support: Offer first-level technical assistance to staff and scholars; document and escalate unresolved issues to Central IT; and support testing of IT solutions or updates as needed.

Student Transportation and Vehicles

  • Ensure the site's vehicles are maintained, secured, and kept in good working condition. Ensure documentation remains valid and up to date at all times.

  • Promptly report vehicle incidents and serve as the on-site point of contact for all vehicle insurance claims.

  • Work with site leadership and the Central Operations team to develop a comprehensive student transportation plan aligned with CT's org-wide transportation strategy.

Risk Management & Compliance

  • Responsible for creating a risk-conscious site culture in collaboration with the Executive Site Director. Own risk management by promptly identifying, managing, and mitigating risks and ensuring staff follow protocols (e.g., waivers, permission slips, certification, training).

  • Execute strong site and student safety protocols (both physical and digital) in line with org-wide standards.

  • Oversee site security, including security guards, cameras, and the alarm system. Foster a culture of safe occupancy and co-location practices. Orient all staff, students, and visitors to safety protocols.

  • Ensure security and emergency preparedness procedures are implemented and emergency action plans (EAP) are organized and updated. Schedule site drills and training.

  • Implement arrival and dismissal procedures that ensure students enter and leave the site safely and orderly.

  • Serve as the on-site point of contact for all insurance claims.

  • With support from the central team, ensure site data on students, families, staff, and courses are accurate for compliance and reporting.

Program Support & Other

  • Assist with site-based social media postings, flyers, and scholar/family newsletters as needed.

  • Oversee site scholar communication tools and maintain safe, effective systems.

  • Serve as point of contact for site and program events (e.g., board meetings, university partner visits, donor events).

  • Participate in CT's org-wide network of operations staff, operational initiatives, pilots, and projects.


Qualifications
  • ~5 years of experience managing the operations of an organization, school, or program.

  • Excellent organizational, planning, and implementation skills, with the ability to manage multiple projects concurrently.

  • Team-player attitude and strong customer-service orientation.

  • Self-motivated with a strong drive, commitment, and sense of urgency.

  • Excellent written and verbal communication skills across multiple stakeholder groups.

  • Good judgment, approachable demeanor, and professional presence.

  • Proficient in Microsoft 365 and/or Google Workspace, with an appetite to learn data and technology systems.

  • Experience with Salesforce (or other CRMs/databases) and budget software (e.g., Adaptive) is a plus.

  • Ability to work on-site in Baltimore, Monday-Friday, 11:00 AM - 7:00 PM.


Compensation & Benefits
  • Full Salary Range: $62,000.00 - $75,500.00

  • Target Hiring Range: $65,375.00 - $68,749.00 (Offers are made within the target range based on experience to ensure internal equity and leave room for salary growth).
