Job description

We're looking for an experienced Firm Operations Manager to oversee the day-to-day administrative operations of our growing public accounting firm.
This is a hands-on leadership role responsible for managing our administrative team, overseeing office operations, improving firm processes, and partnering with leadership to ensure our professionals have the systems and support they need to deliver exceptional client service.

What You'll Do
Lead Our Administrative Team
  • Supervise, mentor, and support our administrative professionals.
  • Coordinate daily workflows, schedules, and office coverage.
  • Help establish consistent processes and accountability across the administrative team.
  • Support performance management and ongoing development of administrative staff.

Oversee Office Operations
  • Ensure the office operates efficiently each day, including reception, conference rooms, mail services, office supplies, and general office logistics.
  • Coordinate onboarding logistics for new hires, including workspace preparation, building access, equipment coordination, and introductions to office procedures.
  • Maintain firm records, filing systems, and administrative documentation.
  • Prepare firm-wide operational communications and administrative updates.

Support Firm Operations
  • Coordinate administrative workflows supporting tax, audit, and advisory teams.
  • Oversee CPE tracking, CPA license renewals, business registrations, and recurring compliance activities.
  • Assist with software implementations and operational improvement initiatives.
  • Monitor recurring firm projects, deadlines, and annual operational processes.

Improve Processes
  • Identify opportunities to streamline administrative workflows and improve efficiency.
  • Partner with firm leadership on operational projects and continuous improvement initiatives.
  • Develop and document standardized office procedures.

Coordinate Office Facilities & Vendors
  • Serve as the primary contact for building management and office vendors.
  • Coordinate office maintenance, security access, parking, and building communications.
  • Manage vendor relationships, purchasing, office supplies, and operational invoices.
  • Support insurance renewals and vendor contract administration.

Support Busy Season Operations
  • Coordinate administrative support during tax season, including workflow tracking, office logistics, weekend coverage, meal coordination, courier services, and deadline support.
  • Assist with e-file processes, organizer tracking, return assembly coordination, and seasonal administrative activities.

What We're Looking For
We're seeking someone who has successfully managed office operations within a professional services environment and enjoys creating structure, efficiency, and consistency.
Qualifications
  • 5+ years of office or operations management experience, preferably within a professional services organization (public accounting, legal, consulting, financial services, engineering, architecture, or similar).
  • Experience leading an administrative or office support team.
  • Exceptional organizational and project management skills with the ability to manage multiple priorities.
  • Strong communication skills and a collaborative leadership style.
  • Experience developing and improving office processes.
  • Professionalism, sound judgment, and the ability to handle confidential information.
  • Experience managing vendor relationships, office operations, and administrative budgets.
  • Familiarity with public accounting operations or time and billing software is a plus.
  • Bachelor's degree in Business, Operations, or a related field preferred.

The above salary range represents a general guideline; however, Snyder Cohn considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions. As such, in certain circumstances, offers may be outside of the listed salary range.
