Title: Accounting & Office Administrator
Department / Manager: Administration / Accounting Manager
FLSA Status: Exempt
JOB PURPOSE:
This position entails performing Accounting/Office Administration duties for a
Japanese-Michigan. Japanese assignees working in the U.S. with varied applications, transition
assistance for the families to adapt to their new U.S. lifestyle (including residence;
This position is part of the Administration staff comprised of Accounting, IT, Human Resources and
Administrative Executive Management that often requires discretion in the
handling of confidential information.
RESPONSIBILITIES:
Office Administration Responsibilities:
Performs general office administrative work (such as ordering office supplies;
answering company business phone; coordinating facility and/or equipment
repairs and administering related supplier contracts) with Administration Staff
support as/if required.
Maintains up-to-date employee contact lists (including handling associated
business card orders, adding and/or removing associates from the security
access system, IT services and company credit card issuances (with IT and
Administration Staff support as/if required).
Manages company car (fleet vehicle) maintenance including lease
agreements (with Accounting-Administration Staff support as/if required).
Provides support to Howa Management and their families (as/if required)
including coordinating temporary housing; apartment lease or home rental
agreements; provides support to associates and families such as Social
Security and Secretary of State and new U.S. banking applications.
Provides business support to Howa Japan Expats for English to Japanese
translations (including supporting Explanation of Benefits, as required).
Provides support to Executive Management that often requires discretion in
the handling of confidential information (such as creation and upkeep of
reports for the President, travel arrangements for local and international visits
and coordination of company meetings).
Accounting Responsibilities:
Provide administrative and financial support to the Accounting Manager ensuring
that Howa Japan payments and expenditures are monitored and processed in an
efficient, effective and accurate manner and that suppliers and vendors are paid
within established timescales.
Assist Accounting Manager preparing, positing, verifying, customer payments and
transactions related to accounts receivable. Creates invoices according company
practices; submits invoices to customers. Maintains and updates customer files,
including name or address changes. Manage fixed asset account and credit all
card expenses.
BASIC QUALIFICATIONS:
Understanding of Japanese business culture with operations in the U.S.
Fluent bi-lingual (Japanese and English) business-level written and verbal
communication skills, recommended.
Proficiency in Microsoft Office (Word, Excel, Power Point), accounting
software.
Able to operate related office equipment, such as, computers, 10-key
calculator, and copier.
Ability to pay strict attention to detail; excellent time management and
organization skills.
High-level of Executive Confidentiality.
