Position Objective

Working closely with the members of the Business Office, the primary focus of the Associate Director of Business Operations entails management of the general ledger, processing payroll, and supporting benefits administration. This position also works closely with the Director of Strategic Finance in generating and analyzing monthly, quarterly, and annual reports, as well as supporting the annual budget process and the annual independent audit of financials and the retirement plan. This position manages the work of the Business Operations Associate.


Qualifying Characteristics

  • A Bachelor’s degree in business with accounting concentration preferred, or equivalent combination of education and experience.
  • Must be highly skilled in dealing with financial and numerical data
  • Excellent organization and communication skills with attention to detail
  • Proficiency in Google Suite, Microsoft Office Suite, strong skills in Word, and highly skilled in the use of Excel
  • Must be skilled in the use of Financial Edge NXT, or commensurate accounting software
  • A minimum of 5 years of experience in an accounting management or controllership role is required
  • Demonstrated ability to initiate and complete multiple tasks on time in a fast-paced environment
  • Strong ability to work collegially with the Administration and Faculty
  • Work experience in an independent school, college, and/or non-profit setting preferred


Essential Job Duties

  • Uphold the School’s Mission, Vision, and Values as well as all policies and procedures required for non-profit independent schools
  • Participate in all required professional development for faculty and staff, supporting the educational mission and philosophy of the school


Accounting/Finance

Manage general ledger through the monthly close schedule, to include (but not limited to):

  • Bank and investment account reconciliations
  • Posting to Subledgers
  • Reconciliation of FACTS to GL
  • Deferred revenue allocation
  • Contribution reconciliations with Development
  • Reconciliation of AvidXchange to GL
  • Payroll entry and reconciliation to Paycom
  • Restricted Fund rollforward (quarterly)
  • Finalize the trial balance each month for reporting


  • Participate in Financial statement preparation and analysis, including assistance with Finance Committee reports
  • In conjunction with the Director of Strategic Finance, manage annual independent financial and retirement plan audit requests, and assist with the preparation and review of the 990 annual information filing


Supervise and manage the work of the Business Operations Associate to:

  • Ensure timely accounts payable process each week
  • Ensure a timely student billing process and collections
  • Ensure all other deposits, billings, and disbursements are recorded and handled promptly and accurately.
  • Ensure school credit card transactions are documented, coded, and entered to the general ledger in a timely manner.
  • Support the maintenance of capital asset records
  • Assist with monthly bank reconciliations
  • Populate annual DASL/NBOA and CalISBOA survey data each year
