Slocan Valley Co-op is hiring a Office Manager at our Administration Office in Slocan Park, British Columbia.

Slocan Valley Co-op is located in the West Kootenay region of south-east British Columbia, providing goods and services via our Grocery Convenience and Gas Bar departments in Slocan Park, Nelson, Castlegar, Glenmerry, our Bulk Petroleum & Lubricants department in Castlegar, and our hospitality services at The Dam Restaurant & Bar for the benefit of our member-owners and communities where we operate. What you'll do:

Reporting to the General Manager to perform critical tasks, coordinating, preparing, and supervising the Association's administrative and financial matters for day-to-day, period end, and fiscal year end requirements. The realm of responsibility will include meeting all company standards and deadlines in performing the following tasks:

  • Finance Support to process daily and weekly department reconciliations and cash management tasks; coordinate period and year end processes, inventory planning, and document consolidation to support Team Leaders; and perform routine entries to and monitor the general ledger.

  • Accounts Receivables to oversee the credit application process, maintain accurate customer account files and records; verify billing, invoice entries, and monthly statements. Supervise customer payment receivables accuracy. Communicate and resolve overdue accounts, maintain account balances to current status, and organize collections as per the credit policy.

  • Accounts Payables to maintain vendor account files and records; observing necessary authorization practices in scrutinizing all entries and support Team Leaders to ensure accurate coding to process vendor and expense invoices and transfers. Investigating to resolve any irregularities or vendor enquiries on outstanding entries and ensure necessary cut-off deadlines are met. Perform weekly pay run procedure and bank payments via EFT.

  • Human Resource Support to maintain employment data records in co-ordination with FCL HR and Payroll Services, and support Team Leaders with bi-weekly payroll timecard entries and HR-related activities. Prepare new Team Member entry/exit paperwork, and assist with coordinating effective Team Member orientation, onboarding, and training exercises with Team Leaders. 

  • Administrative Support to perform and maintain data entry control for internal and external reporting requirements for Management, the Board of Directors, and member services. Assist in coordinating company events, sponsored events, and promotional activity.

  • Customer Experience and Brand to foster a positive work environment that enables the engagement of all team members in the pursuit of desired results.

  • Organizational Support and Efficiency to apply knowledge of Co-op's Vision, Mission, and Values to all aspects of the job. Support and advocate for professional development and self-improvement strategies to support the changing needs of the retail.

The Team:  You will work closely with the General Manager and will have a full-time Administration Clerk and support as direct reports for task management, member and customer service.

Who you are: 

You are looking for a career in Administration and:

  • Post-secondary education in Accounting or Business Administration, or related field is preferred; a relevant combination of education and Office Administration experience may be considered.

  • Minimum 3+ years experience in finance, accounting, or Business Administration position. Previous experience leading small teams / directing the work of others is highly preferred.

  • You are very proficient with Microsoft Office software (Excel, Teams, Word, OneNote), and ideally have experience with Oracle-based software (JDEdwards), Adobe document software, and function effectively in a technology-based environment.

  • You are highly organized, honest and trustworthy, are results-oriented, and strive to be the best in what you do.

  • You believe in building relationships and collaborating to deliver solutions that matter most, and you recognize the value that different perspectives bring to meet shared objectives.

  • The full-time, annual salary range for the position is $68,260 to $102,385 depending upon qualifications.
