Job Description Summary
The University of South Alabama's Center for Educational Accessibility and Disability Resources (CEADR) is seeking to hire a Program Assistant. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
  • Assists the department head or director in the daily operations of programming for the Center for Educational Accessibility & Disability Resources (CEADR).
  • Oversees the program support, test administration, general office and administrative duties with some variety and complexity.
  • Serves as a liaison to other offices within the University and external contacts.
  • Maintains budget records, supervises other support staff, arranges meetings-itineraries-agendas.
  • Compiles data, prepares reports, and purchases office and program supplies and materials.
  • Provides primary support to the departmental directors, staff, and reporting departments/areas/initiatives including but not limited to Upward Bound, CEADRs Accommodated Testing, Assistive Technology for Students with Disabilities, and Peer to Peer Notetaking for Students with Disabilities, and CEADR's Medical Withdrawal Committee.
  • Oversees management of the front office, assists with case management, and administers the units budget procedures.
  • Responsible for completing required training and promoting a safe, hospitable, and respectful workplace.
  • Maintains accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in the University of South Alabama's (USA) policies and procedures.
  • Provides a critical role in USA meeting the demands and requirements of an increasingly critical environment for maintaining and improving accessibility for the university.
  • Provides significant responsibilities that relieve the professional staff so that they may focus on the critical disability-related issues to develop a more accessible and productive educational environment.
  • Supports testing operations to include floating as the testing coordinator and administering exams that take place outside and within normal business hours (early mornings and late evenings, approximately 30 times per semester), approving testing reservations in the departmental database, AIM by communicating with faculty and students to coordinate test dates, times, and materials, rearranging testing reservations as needed, assisting CEADR's testing coordinator with printing test materials as needed, serving as Proctor for test takers outside and within normal business hours, serving as a faculty liaison for troubleshooting password and test material needs, and exam issues with online exam platforms, providing supervision for student assistant test administration and proctoring, remitting completed test materials to faculty via intercampus mail and digitally via the departmental database, AIM, and maintaining a revolving file system for completed exam materials
  • Assists with CEADR events to include assisting with planning/ideas for departmental events, completing transactions for event catering and supplies, completing reservations for event spaces, set up and breakdown of event equipment, tables, etc., and submitting procurement reports for events.
  • Assists with CEADR's interpretive services to include intercepting and reconciling monthly and bi-weekly interpretive service invoices (American Sign Language & Communication Access Realtime Translation (CART Services), managing the blanket invoice for interpretive services with accounts payable, managing inventory and rental process for interpretive service equipment
  • Assists with CEADR's Peer-to-Peer Notetaking Program to include reviewing and processing 150 or more invoices per academic year via payroll and Concur for CEADRs peer-to-peer note-taking program and assisting student note-takers with forms, documentation, and payroll setup as required by Human Resources for compensation.
  • Assists with application process to include corresponding with key stakeholders (parents. students, faculty, staff, prospective students) to navigate the application process with CEADR in-office via telephone and email, and reactivating, unarchiving, and updating student profiles in AIM.
  • Serves on CEADR's Medical Withdrawal Committee.
  • Reviews applicant documentation as needed.
  • Verifies documentation from healthcare providers.
  • Serves as co-lead for supervision of CEADR student assistants and graduate assistant.
  • Manages director and assistant director calendars.
  • Administers tests outside or normal office hours.
  • Screens departmental phone calls and voicemail for CEADR staff.
  • Manages departmental email account by sorting emails and forwarding them to appropriate CEADR staff, retrieving test material and test passwords sent via email, processing approved medical withdrawal, and corresponding with key stakeholders regarding various departmental matters.
  • Regular & prompt attendance.
  • Ability to work schedule as defined and overtime as required.
  • Related duties as required.
