Work Schedule

Monday - Friday, 8:00 AM - 5:00 PM. This is a temporary training position to end on or before twelve months of training in the program. Upon successful completion, the Evaluator Trainee may move to the Evaluator I classification.

Department

The Office of the Registrar within the Division of Academic Affairs serves students and the campus community by providing quality services that facilitate enrollment, retention, and degree completion while maintaining accurate academic records for the University. We are also responsible for processing transfer credit and maintaining articulation agreements with other institutions. Additionally, we register new and continuing students for classes, maintain academic records, prepare transcripts and diplomas, and review petitions for exception to university policy. We seek an exceptional individual to join our team as the Evaluator Trainee. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Duties and Responsibilities

Under general supervision of the University Registrar, the Evaluator Trainee is a key member of the Office of Registrar team. This position is primarily focused on the timely and accurate evaluation of transfer credit from other post-secondary sources, ensuring its most efficient use toward the completion of degree requirements. The Evaluator Trainee monitors and enters transcript data into the uAchieve degree audit system, reviews and resolves interface errors, and verifies degree catalog requirements against the Titan Degree Audit. The position evaluates transfer credit for incoming and currently enrolled students and applies credit toward General Education requirements, majors, and degrees in accordance with Title V, formal articulation agreements, and university policies using tools such as ASSIST and the C-ID database. The Evaluator Trainee also verifies associate degrees for Transfer, Intersegmental General Education Transfer Curriculum (IGETC), and CSU General Education (GE) Breadth Certificates, and responds to daily student, faculty, and advisor inquiries through Service Now regarding graduation requirements, academic policies, and degree progress. This position contributes directly to student success by improving the quality of information available to academic advisors, thereby supporting the timely completion of degrees and the elimination of the achievement gap. Essential Qualifications

Equivalent to six months of experience involving academic, administrative, fiscal or statistical records processing and maintenance or two years of full-time college with coursework specific to the development of quantitative and analytical skills. Upon successful completion of the training program, trainees are moved to the Evaluator I classification.

Knowledge of Microsoft Office including Word and Excel, must have the ability to work closely and collaboratively with other areas on campus such as admissions and academic advisement. Knowledge of general office procedures, methods, and practices. Ability to be thorough and accurate in data entry and comparing records. Ability to interpret and correctly disseminate accurate information. Ability to maintain confidentiality of records and evaluations, convert units between academic calendars (e.g., between quarter and semester), calculate a grade point average, organize work to meet deadlines. Excellent verbal and written communication skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Equivalent to one year of academic records academic experience, or one year equivalent to completion of a training program in academic records evaluation, or any combination of training and experience related to academic records evaluation. Two years of progressively responsible experience in Admissions and Records, advising, or within an academic department, requiring analysis of complex General Education requirements and development of solutions/rules to address multifaceted issues.

Ability to develop knowledge of general office procedures, methods, and practices. Ability to be thorough and accurate in data entry and comparing records. Ability to interpret and correctly disseminate accurate information. Ability to maintain confidentiality of records and evaluations, convert units between academic calendars (e.g., between quarter and semester), calculate a grade point average, and organize work to meet deadlines.
