Your opportunity:
The Undergraduate Program Coordinator is part of the Academic Programs team and responsible for supporting the day-to-day academic operations of the Bachelor of Information (BI) Undergraduate program. The team supports the academic administration of the Faculty of Information.
Under the general direction of the Assistant Dean, Academic Programs and Governance, and supporting the BI Program Director and Associate Dean, Teaching and Learning, the incumbent is responsible for assisting in the implementation, launch, and operation of the Faculty's new First-Entry BI Program (first cohort of students to be admitted for the fall 2027 semester). The role supports academic program delivery and quality assurance through interpreting policies and developing appropriate procedures, coordinating program activities, and providing guidance.
Your responsibilities will include:

  • Analyzing service delivery and/or internal processes and recommending improvements
  • Keeping well-informed on changes to policies, procedures, and applicable legislated requirements
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Serving as a resource to others by providing (non-supervisory) job-related guidance
  • Coordinating the preparation and distribution of program and/or course material
  • Coordinating program audit processes
  • Keeping well-informed on faculty requirements, the University structure, academic policies and procedures, and specific learning requirements within courses and programs
  • Coordinating tasks for projects and other strategic initiatives with stakeholders

Essential Qualifications:

  • Bachelor's degree or acceptable combination of equivalent education and experience
  • Minimum four (4) years of recent and related experience providing academic program administration in a post-secondary environment, preferably in an undergraduate program
  • Experience working directly with Programs Directors to provide program information, including admissions, registration, course enrollment, and degree requirements
  • Solid knowledge on academic polices and procedures including: general admission process, program/degree requirements, application process, petitions, and role of registrarial office
  • Experience advising faculty members on appropriate academic guidelines and procedures, and maintaining workflows
  • Demonstrated experience recommending process and workflow improvements
  • Experience interpreting policies and drafting procedures and handbooks (e.g., for instructors, for final exams, for TAs, etc.)
  • Experience coordinating skills development programming for professional-stream students
  • Experience liaising with industry as it relates to student program requirements
  • Demonstrated experience developing new procedures and processes and seeing them through from conception to implementation
  • Demonstrated organizational and time management skills including the ability to work independently and effectively manage multiple competing priorities and deadlines
  • Proficient in ROSI, ROSI Express, Quercus, eMarks, CIS, CM, or similar student systems to enter data, retrieve information, and generate reports
  • Advanced computer skills, including significant experience with Microsoft Office suite (Word, Excel, Outlook, etc.) and SharePoint
  • Excellent interpersonal skills and demonstrated ability to effectively interact with various stakeholders including students, faculty members, staff, and external partners
  • Strong attention to detail
