Job description

A well-established, private non private equity owned ophthalmology practice in Western Maryland is seeking an experienced, hands-on Practice Office Manager to oversee daily clinic operations. We need an active, organized leader with a proven track record in front desk workflows, billing, and staff management. This role requires working directly alongside the front desk team, collaborating with our Chief Financial Officer on payroll, and partnering with the owner and clinical leadership team on employee performance reviews. Experience with Modernizing Medicine (Mod Med) EHR is strongly preferred.

Key Responsibilities:
• Staff Leadership: Recruit, train, schedule, and supervise 14 general and administrative staff members. Foster a positive and collaborative workplace environment.
• Front Desk & Administrative Support: Lead by example by actively participating in daily front desk workflow, checking in patients, and supporting administrative workflows during peak hours.
• Payroll & Financial Collaboration: Work directly with the practice CFO to process, verify, and submit accurate payroll data and align billing/collections tracking.
• Performance Reviews: Partner closely with the owner and leadership team to conduct thorough employee performance reviews, establish staff goals, and manage professional development.
• Billing & Accounts: support CFO workflow through the revenue cycle, manage coding and claims, ensure clean claim submission, and monitor accounts receivable (A/R).
• Daily Operations: Optimize Mod Med software efficiency, manage clinic inventory, address patient inquiries, and maintain regulatory compliance.
Qualifications:
• Proven management experience in a medical office, with ophthalmology or optometry background preferred.
• Superior organizational, time management skills with an excellent attention to detail.
• Willingness to be hands-on and work alongside to lead administrative staff at the front desk.
• Strong team-player mindset with a history of reporting to owners and collaborating with financial or executive personnel.
• Direct experience using Modernizing Medicine (Mod Med) EHR is a strong advantage.
• Strong working knowledge of ophthalmic medical billing, coding, and third-party insurance.
