Job description

Overview

With iconic properties in Tucson and Lenox, and a new destination opening in Austin in 2026, we create life-changing experiences for guests through world-class service, innovative wellness programming, and extraordinary hospitality. 


Responsibilities

Massage Administrator is primarily responsible for all aspects of daily administrative duties and functions of the Massage Department. 

Manages and resolves any issues and assist with requests for services and therapists. Receives therapist sick calls and reschedules guests to other therapists. Receives and processes same day or next day requests for services/therapists. Communicates last minute changes to therapists. Enters and monitors administrative blocks in Book4Time where needed.  Completes and updates daily room assignment for providers. Assists with treatment room set-ups with last minute bookings or overage situations. . Answers phones, provides therapist daily schedules when requested. Assists with filing of all department documents. Organizes and maintains inventory, portioning and restocking of massage and body treatment supplies.

Also provides operational support including marketing requests, scheduling departmental meetings, greeting guests, answering phones, making copies, scanning, submitting requests for IT and Facilities. Attends all department meetings, transcribing and distributing staff meeting notes. Maintains current guest utilization reports.

Proficiency with a variety of computer software applications in word processing, spreadsheets and database (MSWord, Excel, Access, PowerPoint).Possess excellent organizational, oral and written communications skills as work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
