Job description

Responsibilities

  • Set up, clean, and replenish conference rooms before and after meetings, ensuring refreshments and supplies are fully stocked.
  • Maintain office kitchens and pantries by restocking beverages, coffee, tea, utensils, paper products, and other hospitality items.
  • Refill office refrigerators with milk, non-dairy alternatives, and other beverages, and clean and maintain coffee machines daily.
  • Provide reception coverage as needed, delivering professional and courteous service to attorneys, clients, and visitors.
  • Set up and troubleshoot Zoom meetings in conference rooms for client meetings, depositions, and internal events.
  • Restock printer stations, secretarial areas, and other office supply locations to ensure uninterrupted daily operations.
  • Coordinate and place catering and lunch orders for meetings and events.
  • Assist with the setup and breakdown of in-office hospitality services, including salad bar and other firm events.
  • Perform additional office services and administrative support duties as assigned.


Qualifications

  • Strong technical aptitude with proficiency in Microsoft Outlook, Zoom, and other basic office technology.
  • Highly organized with exceptional attention to detail and the ability to manage multiple tasks efficiently.
  • Self-motivated with a proactive, hands-on approach and strong initiative.
  • Excellent interpersonal and customer service skills, with the ability to interact professionally with attorneys, staff, clients, and vendors.
  • Dependable team player with a strong work ethic and willingness to assist across multiple office functions.
  • Ability to work in a fast-paced, service-oriented environment while maintaining a high level of professionalism.
  • Prior experience in office services, hospitality, facilities, or administrative support is preferred but not required.
