The Operations Support Manager is responsible for ensuring smooth, safe, and compliant operations across Warehouse & Shipping, Maintenance & Calibration, and Spare Parts management. This role leads day-to-day operational execution, drives preventive maintenance and calibration programs, maintains spare-parts availability, and continuously improves processes to support customer service, equipment reliability, and cost control.

Key ResponsibilitiesWarehouse & Shipping
  • Oversee inbound/outbound receiving, picking, packing, staging, and shipping operations to meet delivery targets and quality standards.
  • Manage inventory accuracy (cycle counts, physical inventory), storage optimization, and stock replenishment.
  • Ensure compliance with all shipping regulations, labeling, and documentation requirements.
  • Implement and enforce health, safety, and housekeeping standards in the warehouse.
  • Coordinate with logistics carriers and 3PL partners; negotiate rates and monitor performance.
  • Use warehouse management systems (WMS) and ERP interfaces to maintain accurate records and traceability.
Maintenance & Calibration (Including Spare Parts)
  • Lead preventive and corrective maintenance programs for production, material handling, and facility equipment using a CMMS.
  • Own the calibration program for test, measurement, and process control equipmentโ€”develop schedules, execute or manage vendors, and ensure traceable documentation.
  • Manage spare-parts inventory levels, reorder points, lead times, and obsolescence to minimize downtime while controlling carrying costs.
  • Source and manage relationships with service vendors, calibration labs, and spareโ€‘parts suppliers; oversee contracts and SLAs.
  • Drive rootโ€‘cause analysis and reliability improvement initiatives (RCA, FMEA, TPM).
  • Maintain accurate maintenance and calibration records to support audits and regulatory compliance.
Leadership & Team Development
  • Supervise and coach warehouse, shipping, maintenance, and calibration technicians; manage staffing, scheduling, and performance reviews.
  • Promote crossโ€‘training and skill development to increase team flexibility.
  • Foster a safetyโ€‘first culture and lead regular safety and training programs.
Compliance, Quality & Continuous Improvement
  • Ensure operations meet applicable regulatory and quality standards (e.g., ISO, GMP, or industryโ€‘specific requirements).
  • Develop, update, and enforce SOPs, work instructions, and maintenance/calibration procedures.
  • Identify and implement process improvements to increase efficiency, reduce costs, and improve service levels.
  • Produce regular operational reports and present performance metrics to leadership.
Key Performance Indicators (KPIs)
  • Onโ€‘time shipments and delivery accuracy
  • Inventory accuracy and stockout rate
  • Equipment uptime / meantime between failures (MTBF)

Qualifications
  • Bachelorโ€™s degree in Engineering, Supply Chain, Operations Management, or related field (or equivalent experience).
  • 5+ years of progressive experience in operations, warehouse management, and maintenance/calibration; management or supervisory experience preferred.
  • Handsโ€‘on experience with CMMS, WMS, and ERP systems.
  • Strong knowledge of preventive maintenance, calibration practices, spareโ€‘parts management, and vendor management.
  • Familiarity with relevant regulatory frameworks (industryโ€‘specific: e.g., GMP, ISO) is a plus.
  • Excellent leadership, communication, problemโ€‘solving, and organizational skills.
  • Preferred Technical background (mechanical/electrical) or certification in maintenance/industrial trades.
  • Experience with Lean, Six Sigma, TPM, or reliability engineering approaches.
  • Proven vendor negotiation and contractโ€‘management skills.

  • Up to 50% travel in the first 6-9 months.
