Office Manager

QuickMed Urgent Care is seeking a motivated, organized, and experienced Office Manager to oversee the day-to-day administrative and operational functions of an urgent care location. The Office Manager will provide leadership to front-office staff, support clinical operations, ensure an exceptional patient experience, and maintain efficient clinic workflows.

The ideal candidate is a hands-on leader who thrives in a fast-paced healthcare environment and has strong communication, organizational, customer service, and problem-solving skills.

  • Oversee daily administrative and front-office operations of the urgent care center.
  • Supervise, lead, coach, and support front-office employees.
  • Develop and maintain staff schedules to ensure appropriate coverage and efficient operations.
  • Assist with employee onboarding, orientation, training, and ongoing development.
  • Monitor employee attendance, punctuality, productivity, and performance.
  • Address employee concerns and performance issues in accordance with company policies.
  • Ensure staff follow QuickMed policies, procedures, and standards.
  • Monitor patient registration, check-in, check-out, scheduling, and overall patient flow.
  • Promote a positive and professional patient experience.
  • Address patient concerns and complaints promptly and professionally.
  • Collaborate with providers, nurses, medical assistants, and other clinical team members to maintain efficient workflows.
  • Monitor clinic wait times, patient volume, and operational efficiency.
  • Ensure accurate patient information and appropriate documentation within the electronic medical record (EMR).
  • Oversee insurance verification, authorizations, referrals, and other administrative processes as applicable.
  • Assist with revenue cycle and billing-related processes and identify issues that may impact collections.
  • Monitor office supplies, medical/administrative inventory, and equipment needs.
  • Assist with ordering supplies and maintaining appropriate inventory levels.
  • Maintain compliance with HIPAA, OSHA, infection-control practices, and applicable federal, state, and local regulations.
  • Assist with preparation for audits, inspections, and compliance reviews.
  • Maintain a clean, organized, professional, and welcoming clinic environment.
  • Review operational reports and identify opportunities for improvement.
  • Communicate operational concerns, staffing needs, and performance trends to leadership.
  • Assist with implementation of new policies, procedures, programs, and initiatives.
  • Participate in staff meetings and leadership meetings as needed.
  • Serve as a role model for professionalism, accountability, teamwork, and customer service.
  • Perform other duties as assigned.
  • High school diploma or GED required.
  • Minimum of 2 years of healthcare, medical office, urgent care, outpatient, or related experience.
  • Previous supervisory or management experience preferred.
  • Strong knowledge of medical office operations and patient service.
  • Working knowledge of HIPAA and patient confidentiality requirements.
  • Experience working with electronic medical records (EMR/EHR) systems.
  • Strong computer skills, including Microsoft Office.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Demonstrated ability to lead and motivate a team.
  • Strong problem-solving and conflict-resolution skills.
  • Ability to handle confidential information with discretion.
  • Ability to work effectively in a fast-paced healthcare environment.
