Position Summary: The Regional Business Office Manager is responsible for review and supervision of the Senior Living Business Office functions. 
 
Qualifications Required:
  • Requires a bachelor’s degree or a combination of equivalent education and experience.
  • 5 years of business office manager experience in a Senior living community
  • Should possess intermediate knowledge of applicable rules and regulations governing senior living.
  • Must possess knowledge of billing AL Medicaid Waiver residents in Ohio.
  • Must be able to travel to Senior Living Communities on a regular basis.
  • Ability to make complex decisions requiring a high degree of judgment.
  • Strong Yardi knowledge and ability to effectively train others in the functions required of onsite BOM Business Office Manager.
  • Strong ability to lead self and others in training, problem solving, collections.
  • Must be intermediate to advance level in Excel.
  • Must be proficient in Yardi

Functions and Responsibilities:
  • Oversee company-wide billing practices to ensure each community is billing all payors accurately and timely using the company’s designated financial and billing platform, in compliance with internal policy and regulatory requirements.
  • Provide direct leadership and oversight of Accounts Receivable (AR) across all assigned communities, including establishing clear AR workflows, expectations, and accountability.
  • Assist communities to maintain a 100% AR Collection rate each month
  • Lead communities through a structured AR collection process, holding ongoing and recurring AR meetings with Executive Directors and Business Office Managers to proactively collect current AR and aged AR, including:
    • Private pay balances
    • Resident responsibility related to Medicaid Waiver programs
    • Other third-party payor balances
  • Drive consistent follow-up on unpaid balances, ensure proper documentation, and remove barriers to payment to reduce aged AR and improve cash flow.
  • Partner closely with the Medicaid Billing Specialist to ensure:
    • All Medicaid billing requirements are met at the community level
    • Service authorizations, eligibility, and documentation are complete and timely
  • Audit all new move-ins for financial accuracy and completeness within the company’s billing platform, ensuring correct rate setup, payer classification, billing start dates, and resident responsibility amounts.
  • Develop and train comprehensive training plans and educational modules for new Business Office Managers (BOMs) and ongoing education for existing BOMs, including billing, collections, compliance, and best practices.
  • Act as an Interim BOM in absence of a BOM or as needed.
  • Manage process improvement initiatives and enforce adherence to Company Policy across all senior living business office functions.
  • Monitor, analyze, and report AR performance metrics for assigned communities, identifying trends, risks, and opportunities for improvement.
  • Develop and implement an internal audit program, in partnership with the Director of Finance, to ensure compliance with Company Policies, Medicaid requirements, and applicable State and Federal regulations.
  • Serve as the primary liaison between Communities and any external collection agencies, ensuring appropriate referrals, tracking outcomes, and maintaining positive resident relationships.
  • Oversee and continuously improve the refund process, ensuring refunds are processed accurately, timely, and in accordance with policy.
  • Assist with the onboarding, system setup, and operational stabilization of all new senior living communities.
  • Support corporate and community leadership in the annual budgeting process.
 
 
Physical Demands:
Position requires extensive sitting for long periods of time throughout the day.  Manual dexterity needed for computer work with keyboard and mouse.  Requires talking, seeing and hearing with reasonable accommodation. Requires travel to and from external business activities, including individual company locations. Some lifting/bending/stooping for transfer of files to different events/communities. 
 
Work Environment:
Position requires the majority of the work to be performed indoors. Inside working conditions are in an office setting. This position will be located at Corporate headquarters.
