Job description

The Ruhlin Company seeks to hire a Project Coordinator out of our Columbus office. 

Summary: Coordinate with project team members Company-wide to ensure document control is successfully managed for assigned projects.

Responsibilities: 

  • Download and organize plans, specs, and proposals for upcoming and existing projects.
  • Compile and prepare a bid list, order bid bonds, organize and fill out all documents for a bid.
  • Scan all quotes received and organize them accordingly.
  • Create and process purchase orders, change orders, subcontractor agreements, invoices, force account billings, pay estimates, submittals, check requests, and other documents.
  • Prepare documents prior to and attend project meetings when necessary.
  • Create Purchase Orders and Subcontracts with information from the project staff and maintain a shared tracking log for status while ensuring compliance for the project duration.
  • Process pay applications on projects with backup documentation including change orders.
  • Print certified payroll as needed for project staff.
  • Create and edit documents as direct
  • Input data into material tracking logs (concrete, rebar, stone, trucking, LEO's, etc.)
  • Draft correspondence for supervisor's signature, as directed
  • Receive tickets from jobsite and scan/upload to folders as needed
  • Process general administrative work (check requests, etc.)
  • Perform additional assignments as directed by the Project Controls Manager.

Essential Skills and Experience:

  • Bachelor's degree preferred.
  • Minimum 3 years of related experience.
  • Outstanding time management and organization skills.
  • Strong customer service orientation; high energy level; team player.
  • Excellent interpersonal and communication skills.
  • Ability to communicate effectively, both orally and in writing.
  • Team-focused mindset to build strong working relationships.
  • Proficient with Bluebeam, Microsoft Office 365, and Microsoft Teams. (Word, Excel, PowerPoint, Teams), Viewpoint Vista, and HCSS Heavy Job, preferred. Willing and able to learn additional software programs as needed.
