Position Summary
The Team Lead provides operational support to the Practice Manager in a healthcare/FQHC setting. This role ensures smooth clinical and administrative workflows, offers peer-level leadership to front line staff, and assists with site coverage and coordination. This role focuses on supporting site staff, monitoring patient flow and operations, facilitating communication, and escalating concerns to the Practice Manager as appropriate. While this position has no direct reports, it plays a key role in fostering team effectiveness and maintaining compliance with organizational standards.
Key Responsibilities
Support to Practice Manager
  • Provide site coverage as needed to ensure continuity of operations across front office and clinical areas
  • Provide feedback and guidance to team members based on communication from the Practice Manager, ensuring alignment with established expectations and organizational goals.
  • Reinforce expectations and priorities communicated by the Practice Manager to both front office and clinical staff, and provide timely, constructive feedback related to workflow, communication, and adherence to site standards
  • Model professionalism and support front office staff in patient interactions and workflow adherence.

Team Support
  • Foster a collaborative and professional team environment.
  • Facilitate communication between patients, providers, Practice Manager and staff to ensure timely issue resolution.
  • Act as a liaison between clinical staff and the Practice Manager, ensuring updates and priorities are communicated clearly.

Operational Oversight
  • Order, manage, and monitor medical and stationery supplies as requested by the Practice Manager.
  • Attend monthly Front Office Representative (FOR) and Medical Assistant (MA) meetings.
  • Complete weekly staff schedules to maintain coverage as needed.
  • Monitor patient experience tools (e.g., Feedtrail) and regularly relay any concerns to the Practice Manager.
  • Collect and analyze operational data (e.g., no-show rates, registration errors, rooming time) and present findings to the Practice Manager to support the development of strategies that improve patient care and service delivery.
  • Assist with onboarding and orientation of new front office staff by sharing knowledge of systems and standards.

Ensure smooth clinical and registration workflows, including:
  • Front Desk and Patient Flow Oversight
    Ensure patients are checked in and out smoothly. Monitor wait times and escalate any delays to providers.
  • Clinic Workflow Support
    Support smooth clinical workflows by monitoring room flow, provider readiness, and handoffs between front office and clinical teams
  • Basic Operational Support
    Confirm that daily schedules are running as planned. Communicate any schedule changes to staff and providers.
  • Point of Contact
    Serve as a first point of contact for staff questions or minor issues. Direct concerns to others (Practice Manager, HR, IT, etc.) as needed.
  • Safety & Compliance Checks
    Ensure the site remains compliant with basic safety protocols (e.g., locked medication cabinets, clean environment).

Qualifications
  • Associate degree or relevant experience may be considered.
  • 1-3 year's experience in a clinical practice setting.
  • Proficient in Microsoft Suite.
  • Ability to work independently and provide informal leadership.
  • Reliable transportation and willingness to travel to sites assigned to the Practice Manager.
